Approving and Manifesting Travel Request
Overview: Helipass tenants that subscribe to the Travel Management workflows to manage their passenger travel request will have a more robust area to work. These improvements to the Travel Management workflow includes a new Passenger Portal area, a new Travel Request Forms area, as well as direct integration with adding approved travel request to trip manifest. These new areas provide both passengers, travel approvers, and the travel team that manages the trips to move those passengers a much streamlined and easy to manage experience.
This user guide will break down each step that is to be taken by the travel approvers, as well as the travel team managing the trips, in processing, approving, and completing the manifestation of the passenger based on their request.
Managing Submitted Travel Request
Travel Request Forms that are submitted by passengers via the new Passenger Portal area will be displayed on the new Travel Request Forms page. This page can be accessed by those with permissions via the Travel tab on the main menu area at the top of the page.
From the Travel Request Forms page, users are able to:
- Search for specific Travel Request via the search bar
- Update the date range for submission dates of Travel Request
- Filter by Travel Request status
- Review the details of the Travel Request
- Add additional Approvers to the Travel Request
- Add Watchers to the Travel Request
- Approve/Deny the Travel Request
- Request more information from the Traveler
Reviewing the Travel Request Details
To review the details of a Travel Request, click on the 3 dots to the right of the request and select Open Details. This will open up a modal that provides all of the details of the request, as well as tools to perform some of the other actions that may be needed.
The Travel Request Details modal provides the requesting passenger's details, the designated Approver(s), designated Watcher(s), trip details, and comments entered.
To add additional Approvers to the Travel Request, first select the Approver Type (BLM/LCM Approver), search the list for the desired Approver, and then select Add Approver.
To add a Watcher(s) to the Travel Request, select the desired Watcher from the Watcher dropdown list and hit Add Watcher.
Approve/Deny/Needs More Info
If you are selected as one of the approvers for the travel request, you will see the option to Approve, Deny, or request More Info from the traveler at the bottom of the modal. These same actions can also be done via the dropdown menu presented when the 3 dots are selected from the Travel Request page.
Approve
Selecting the Approve button will open up a modal that allows Approval Notes to be added, as well as adding additional approvers prior to confirming the approval.
Deny
Selecting the Deny button will open up a modal that requires a reason for denial to be entered before the denial can be confirmed.
Needs Info
Selecting the Needs Info button will open up a modal that allows you to enter in the specific information that you are needing the traveler to provide before selecting Request More Info.
Note that when additional information is requested, any existing approvals will be reset and must be approved again once the traveler provides their response.
Adding Approved Travel Request to Trip Manifest
After the Travel Request has been submitted and approved, the next step is to add the passenger(s) to a trip manifest.
First, create a trip for the date and origin/destination pair that was submitted by the passenger in their Travel Request Form. If the trip is already created, click on the trip tile for the trip you wish to add the travelers.
Next, click on the Travel tab in the left planning panel and select "Show Only for Selected Trip" to ensure only applicable travelers for the trip appear.
Finally, click on the +Add All button, or the individual +Add buttons next to the travelers names, to place them on the selected trip manifest.
