Mass Editing & Deletion Tools Added to Schedule View
Schedule View users often manage large numbers of personnel events and schedule rows, making bulk updates a common and time-consuming task. Historically, many changes had to be performed one item at a time, creating unnecessary administrative effort when schedules needed significant updates. Whether adjusting multiple events, removing outdated entries, or reorganizing future schedules, users were forced into repetitive workflows that slowed down planning activities.

To improve efficiency, Helipass has introduced a comprehensive set of mass editing and deletion tools for both events and personnel rows within the Schedule View gantt.

What's New?

Mass Event Management

  • Hold the Control key and select multiple events
  • Use the Action menu to:
    • Edit selected events
    • Delete selected events

Mass Row Management

  • Select multiple personnel rows using the row check boxes
  • Use the Action menu to:
    • Edit selected rows
    • Delete selected rows

Built-In Guardrails

  • Prompts users to determine how linked reservations should be handled when deleting events or rows
  • Prevents deletion of historical events and reservations
  • Prevents accidental overwriting of differing values during mass edits unless a new value is explicitly entered
  • Other validation checks to help ensure data integrity

Why It Matters?

Large schedule changes can impact dozens or even hundreds of events at once. These new bulk-editing capabilities significantly reduce the amount of manual effort required to maintain schedules and help planners react more quickly to staffing changes, project updates, and rotation adjustments.

The added safeguards ensure that users can make broad changes with confidence while reducing the risk of unintended edits or data loss. By combining efficiency improvements with intelligent protections, Helipass allows schedulers to work faster without sacrificing accuracy.

ICS Role Breakdown Report
Managing Incident Command Structure (ICS) roles is a critical part of emergency preparedness for many Worksite locations. These roles define who is responsible for specific duties during emergency situations and establish requirements for mustering locations, lifeboat assignments, and minimum staffing levels. While Helipass already allowed Worksite users to assign and manage these roles for personnel on board, there was previously no dedicated report focused on tracking role coverage and assignments in an easy-to-consume format.

To address this need, Helipass has introduced a brand-new ICS Roles Report designed specifically to help Worksite users monitor role assignments and identify gaps in staffing.

What's New?

  • New ICS Roles Report available from the Worksite reporting tools
  • Displays all passengers assigned to each ICS Role
  • Highlights roles that are below minimum requirements or exceed maximum requirements using red indicators
  • Ability to:
    • Include or exclude non-essential roles
    • Include or exclude room and bunk information
    • Choose which roles appear on the report
    • Sort role information using multiple options
  • Available as:
    • An individual report download
    • Part of the Worksite Workbook ZIP package

Why It Matters?

During emergencies, drills, and day-to-day operations, having immediate visibility into role coverage is essential. This report gives Worksite teams a quick way to validate that critical positions are properly staffed and that personnel assignments are aligned with site requirements. By highlighting staffing shortages and overages, users can proactively address gaps before they become operational concerns.

The new ICS Roles Report delivers valuable visibility into emergency preparedness and staffing requirements, helping Worksite teams ensure they have the right people assigned to the right roles at all times.

Crew Schedule Change Workflow Improvements
Earlier this year, Helipass introduced the ability for Schedule View users to create crew schedules while automatically replacing conflicting events through the Crew Schedule Change option. This enhancement significantly reduced the amount of manual effort required when adjusting crew rotations, seasonal schedules, and annual crew swaps.

Since the release, users have provided valuable feedback regarding situations where they might not expect conflicts to exist. Previously, if the Crew Schedule Change option was not selected, the system would simply inform the user that conflicts existed and prevent the new events from being added. Users would then need to either manually resolve those conflicts or restart the process with the Crew Schedule Change option enabled.

What's New?

  • Conflict notifications now provide an additional action when conflicts are detected
  • Users can choose to overwrite conflicting events directly from the conflict popup
  • No need to restart the process with the Crew Schedule Change option selected
  • Existing workflows remain intact for users who prefer to review conflicts before proceeding

Why It Matters?

This enhancement streamlines the process of managing crew schedule changes and reduces unnecessary rework. Users who are unaware of existing conflicts can now quickly address them as part of the workflow instead of being forced to start over. This creates a more intuitive scheduling experience while preserving the safeguards needed to prevent accidental changes.

By allowing conflicts to be resolved directly from the notification, planners can complete schedule updates more efficiently and spend less time navigating repetitive workflows. This improvement builds upon the Crew Schedule Change functionality introduced earlier and further simplifies large-scale schedule adjustments. By reducing the steps required to manage conflicts, Helipass continues to make Schedule View a more efficient and user-friendly planning tool.

Bug Fix - Save Buttons Not Reloading Correctly When Creating Multiple Events
Schedule View users have several options available when creating new events, allowing them to quickly build schedules without repeatedly opening and closing the event creation modal. During the save process, users can choose to save the event and close the modal, save and immediately create an event for another passenger, or continue adding additional events for the same passenger. These workflows are especially valuable for planners who are building out large schedules and creating numerous events at one time.

It was reported that the "Save and New" and "Save and Add" options were no longer functioning as expected after an event was created. While the event itself was successfully saved, the save options within the modal failed to reload correctly, preventing users from continuing their work without closing and reopening the window.

What was happening?

  • Events were successfully saved
  • The modal remained open when using "Save and New" or "Save and Add"
  • Save buttons failed to repopulate correctly after the initial save
  • Users were forced to close and reopen the modal before creating additional events

What was fixed?

  • The save button loading process was corrected
  • "Save and New" now properly resets the modal for creating another event
  • "Save and Add" now properly allows users to continue adding events for the same passenger
  • Event creation workflows once again function as intended

With this fix in place, Schedule View users can return to quickly creating multiple events without interruption. The restoration of these time-saving workflows helps reduce repetitive actions and improves the overall scheduling experience.

System Updates - Travel Request Portal

Profile Request Approval Workflow Added to Travel Portal
The Travel Portal project continues to expand its capabilities as Helipass moves toward a more passenger-driven travel management experience. One of the newest additions allows prospective passengers to submit requests for new passenger profiles directly through the Passenger Portal. As these requests begin flowing into the system, tenant administrators need an efficient way to review submitted information and determine whether the profile should be created.

To support this workflow, Helipass has introduced a new Profile Request management area that gives authorized users the tools they need to review, approve, or deny incoming profile requests.

What's New?

  • New Profile Requests page available to authorized Travel Portal users
  • View all passenger profile requests submitted through the Passenger Portal
  • Open requests to review submitted profile details
  • Approve or deny profile requests directly from the page
  • Required comments when denying a request
  • Denial comments are automatically sent back to the passenger for review and correction

Why It Matters?

As more functionality is moved into the Passenger Portal, passengers are becoming more involved in managing their own travel information. This new approval workflow helps ensure profile information is reviewed before entering the system while still providing a streamlined experience for both passengers and administrators. By collecting feedback directly through the denial process, passengers can quickly address any issues and resubmit their request without unnecessary back-and-forth communication.

The addition of Profile Requests represents another major step toward a fully self-service Travel Portal experience, giving passengers and administrators a more efficient way to manage profile creation and onboarding.

Miscellaneous Bug Fixes

Bug Fix - Company Grade Statuses Not Updating Correctly on the Company Page
Many tenants rely on company compliance grades from ISN to evaluate contractor eligibility and maintain compliance standards. It was reported that company grade statuses displayed on the Company Page were not always matching the information being displayed elsewhere in Helipass or within the ISN system itself. This discrepancy created confusion for users attempting to validate company compliance information.

After investigation, the development team identified the issue and updated the company status handling process.

What was happening?

  • Company grade statuses on the Company Page could display outdated information
  • Values did not always align with passenger reservation data or ISN expectations
  • Users had difficulty determining the current status of a company

What was fixed?

  • Company grade information now updates correctly based on the most recent passenger compliance evaluations tied to that company
  • Company status filtering has been restored on the Company Page
  • Company status information now more accurately reflects current compliance standing

Tenants who rely on ISN company grades should now have a more consistent and accurate view of company compliance information, making it easier to evaluate and manage contractor eligibility.

Bug Fix - First Time Flyer Status Resetting After Profile Updates
Following recent enhancements to First Time Flyer (FTF) tracking, it was discovered that some passengers who had already completed their First Time Flyer requirements were being incorrectly marked as First Time Flyers again whenever updates were made to their profile. This behavior created confusion at service ports and increased the amount of manual review required by personnel responsible for validating FTF designations before flights.

The development team investigated the profile update process and identified the issue affecting FTF status preservation.

What was happening?

  • Experienced passengers could be incorrectly reassigned First Time Flyer status
  • FTF indicators on manifests and profiles became inaccurate after profile updates
  • Base personnel were forced to manually verify passenger experience levels

What was fixed?

  • The profile save process was updated to preserve existing First Time Flyer designations correctly
  • Passenger profile updates no longer affect previously established FTF status
  • Manifests and profiles now maintain accurate First Time Flyer indicators

With this fix in place, users can once again rely on First Time Flyer status indicators to accurately identify passengers who require additional onboarding or supervision.

Bug Fix - Passport Scans Adding Middle Names to First Names
The kiosk check-in workflow allows passengers to use their passports as part of the identification process. During this process on the newer kiosk versions, some users noticed that middle names were being incorrectly merged into the passenger's first name field when information was imported from the passport scanner. While the passenger could still complete check-in successfully, the resulting profile information created confusion when viewing personnel records.

Once identified, the Helipass team reviewed the interaction between the kiosk software and passport scanning process to correct the issue.

What was happening?

  • Middle names were being appended to the First Name field
  • Passenger records displayed incorrect name formatting
  • Personnel information appeared inconsistent throughout the system

What was fixed?

  • Passport scanning logic was updated to correctly map name components
  • Middle initials are now stored in the designated Middle Initial field
  • First Name fields are no longer modified during passport check-in

Passenger names should now display consistently throughout the system, ensuring cleaner records and reducing confusion during passenger management activities.

Bug Fix - Android Mobile App Notifications Restored
Mobile notifications play an important role in keeping passengers informed about changes to their trips, compliance issues, and other travel-related updates. For an extended period of time, passengers using Android devices were not receiving push notifications from the Helipass mobile app. This impacted visibility into important updates and reduced the effectiveness of the communication tools available to operators.

To address this issue, the Helipass team completed the updates required by the Google Play Store and modern Android notification framework.

What was happening?

  • Android users were not receiving mobile push notifications
  • Trip additions, removals, compliance alerts, and mass notifications were not reaching affected devices
  • Notifications continued to function correctly on iOS devices

What was fixed?

  • Mobile application updates were implemented to satisfy current Android platform requirements
  • Push notification services were reconfigured and restored
  • Android devices now receive notifications as intended

Passengers using the Helipass mobile app on both Android and iOS devices should once again receive timely notifications about their travel, compliance status, and other important updates, ensuring everyone stays informed throughout the travel process.
