Flight Planning Users - Additional information added to the Trip Summary page of the manifest print out
Flight planning customers using Helipass can perform aircraft weight and balance calculations directly within the platform, ensuring accurate trip planning. These calculations account for various factors, including aircraft configuration, passenger and crew weights, cargo, wind speed, idle time, fuel requirements, and more. Once these calculations are completed, the manifest is printed and provided to the pilot for reference.
With the latest enhancements, the printed manifest now includes additional high-level trip details on the Trip Summary page. Pilots will now see key flight metrics such as total flight time in minutes, total miles flown, total fuel required, wind speed and direction, basic aircraft weight, moment, max takeoff weight, crew weight, and any remarks entered.
By incorporating these values directly into the printed manifest, pilots gain a comprehensive view of the flight plan and the calculations behind it. This allows for easier verification of data, better situational awareness, and improved decision-making in the event of changes or re-evaluations during the trip.
Travel Request Users - Introduction of the new Travel Request Forms and approval processes for ground transportation
We’re excited to introduce a new feature built out with help of one of our partners—Travel Request Forms (TRF). This feature allows users of that system to request ground transportation while they are in the country for work. Travelers can fill out a TRF and submit it for review and approval based on the type of travel being requested.
To support travel planners in managing these requests, we’ve introduced a dedicated Travel Forms page where they can track, review, approve, and fulfill incoming travel requests. This centralized management tool ensures that travel planners have full visibility into what has been requested, what has been approved, and what has been fulfilled. Additionally, this data will be available through our reporting tools, giving travel teams deeper insights into passenger ground-based movements.
The Helipass team is still working closely with our partner to ensure that the newly released product is working as needed. Even though this feature is currently exclusive to a single customer, we envision a future where other customers that are needing a tooling such as this one can work with the Helipass team to customize their form and begin capturing the necessary information to request and schedule transportation via the new TFR system.
Worksite Users - Option to include/exclude the various check boxes that appear on the Arrival List export for passenger Sign-In
A new update has been made to the Arrival List export available to Worksite Users, giving them more flexibility in managing passenger sign-in information. Previously, all Worksite locations had two check-off columns added to their Arrival List:
- Are you carrying medication?
- Are you an SSE (Short Service Employee)?
Now, a third column has been introduced to capture whether a passenger is a foreign national with a Letter of Determination (LOD). In addition to this new field, Worksite Users will now have the ability to select which of these three columns they want to include or exclude from the export.
By allowing Worksites to customize the information presented during passenger sign-in, this update ensures that only the most relevant fields are displayed, improving efficiency and clarity in the check-in process.
Worksite Users - New banner warning displayed when a POB passenger's Muster Point and Lifeboat assignments do not match the configuration of their assigned ICS Role(s)
A new feature has been added to the Worksite page to enhance visibility into POB assignment exceptions. Worksite users are already familiar with the banner warnings that appear at the top of the page when passenger assignments trigger specific POB-related issues—such as unassigned bunks or multiple passengers assigned to the same ICS Role.
With this latest update, a new warning banner will now be triggered if a passenger's Muster Point or Lifeboat assignment differs from what is expected based on their ICS Role configuration. While ICS Role settings are designed to automatically assign passengers to the correct Muster Point and Lifeboat, users can manually override these assignments. If an override is made, the system will display a warning message to alert users, helping ensure that passengers are correctly assigned to emergency locations in alignment with site safety protocols.
This enhancement helps Worksite users quickly identify and resolve inconsistencies, improving both accountability and safety preparedness.
Australian Region - Phase 1 build out underway for on boarding customers in Australia
Helipass is excited to announce the ongoing work to onboard our first customer in the Australian region. As part of this effort, we are developing new features and system enhancements tailored to their specific operational needs. These updates include:
- Custom Data Sets for unique ID types
- Enhanced Time Zone Support to better align with their regional requirements
- Additional optimizations to improve efficiency and reporting
Over the next few months, Helipass will be working closely with the Australia team to ensure the system has the necessary functionality their region needs. We’re committed to ensuring a smooth on boarding process and look forward to bringing the Helipass platform to other companies that operate in that regain in the future!
Bug Fixes
Worksite Users - Lifeboat Tags now sorting properly when downloading the Muster Point and Abandon Station exports
A recent sorting issue affecting Lifeboat Tags in the Muster Point and Abandon Station reports has now been resolved. Worksite locations that track and manage Lifeboat Tag assignments noticed that some downloaded reports were not sorting passengers correctly based on their assigned tag numbers.
The Helipass team has identified and corrected this issue across all impacted reports. Now, when Worksite users enable the "Sort By Lifeboat Tag" setting, they can download reports with confidence, knowing that passengers will be properly ordered by their assigned Lifeboat Tags.
This fix enhances emergency preparedness by ensuring that evacuation reports are correctly structured when needed most.
Worksite Users - Lifeboat weights displayed in the Left Planning Panel now providing more accurate forecasted estimates
A calculation issue affecting the Beginning of Day (BOD) and End of Day (EOD) lifeboat weight estimates in the Left Planning Panel has now been resolved. Worksite users tracking Lifeboat totals reported discrepancies in the forecasted weights, leading to inaccurate planning.
The Helipass team has corrected these BOD and EOD calculation issues to ensure that the estimated weights for each lifeboat properly reflect passenger reservations for each day. With this fix, arriving personnel will now have their estimated weights included in the forecasts, improving accuracy and helping Worksite teams better plan for lifeboat capacity.
Worksite Users - Forecasted Bunk Report no longer displaying duplicate room and bunk entrees
A bug was identified in the Forecasted Bunk Report where certain rooms and bunks were appearing multiple times in the report, even though they were only configured once. After investigating, it was found that under certain circumstances, rooms and bunks had been unintentionally created as duplicates in the past. Even after these duplicates were deleted, they continued to appear in reports because their names matched active rooms and bunks exactly.
With this fix, the Forecasted Bunk Report now correctly filters out any previously deleted duplicate entries, ensuring that only valid, active rooms and bunks are displayed. Worksite users can now rely on accurate reporting when forecasting bunk assignments.
February Look Ahead
As we wrap up the January newsletter, we want to take a moment to briefly highlight a few bug fixes that were addressed shortly after the end of the month. While these updates fall outside the January release window, we feel it’s important to notify users that these issues have been resolved. A more detailed write-up of these fixes and enhancements will be included in next month’s newsletter.
These quick mentions ensure transparency and keep our users informed of the ongoing improvements to Helipass. By staying proactive with communication, we aim to provide assurance that reported issues are being prioritized and resolved promptly, even as we continue rolling out planned updates. Worksite Users - The issue that was causing Worksite locations not utilizing the ICS Role configurations to load extremely slow has been resolved
Helipass Users - The issue with users not being able to type in the search boxes for adding locations to the trip route and adding passengers when creating events on the Schedule View page has been resolved
