Helipass Users - Login Security Enhancements & Microsoft Entra Transition
Helipass continues to move forward with its transition to Microsoft Entra and a more secure, modern login experience. As part of this effort, users arriving at the login page are now prompted to sign in using their email address by default instead of their historical username. This change helps guide users toward the upcoming email‑only authentication model while still providing flexibility during the transition period.

To support this shift, Helipass is also helping users confirm and update the email address associated with their account if it is outdated or no longer accessible.

What's new?

  • Email address is now the default login identifier on the Helipass login page
  • Users can still sign in with their username during the transition
  • When signing in with a username, users are shown the email tied to their account
  • Users can update their email address if needed during login
  • Duplicate accounts sharing the same email were deactivated based on most recent login activity

Why it matters?

Moving to email‑based login improves account security, reduces confusion caused by duplicate profiles, and aligns Helipass with modern authentication standards. While every effort was made to keep the correct accounts active, Helipass recognizes that edge cases may occur. Support is available to help restore access quickly if needed.

This update is a key step toward fully adopting Microsoft Entra. In the coming weeks, usernames will be phased out entirely, and users will sign in using their email address and password through the new Entra login portal.

Manifest Users - Reservation Sub Statuses Now Visible on Requests and Trips
Helipass has introduced an improvement to how passenger compliance is displayed across Requests and Trips. Previously, users could only see a passenger’s overall Go / No Go status, which often masked upcoming issues such as certifications or requirements nearing expiration. This made it difficult to proactively identify risks before passengers traveled offshore.

With this update, Helipass now surfaces passenger sub‑statuses alongside the Go / No Go bar, providing clearer visibility into compliance details at a glance.

What's new?

  • Passenger sub‑statuses (including yellow statuses) are now visible
  • Sub‑statuses appear on both the Request page and the Trip Manifest Plan page
  • Upcoming expirations and compliance warnings are easier to spot early

Why it matters?

This update gives users a more complete picture of passenger compliance before issues become operational problems. By seeing warnings ahead of time, teams can take action early—renew certifications, adjust plans, or communicate with passengers—rather than discovering problems while a passenger is already offshore.

Worksite Users - Improved Formatting for Worksite Arrival Sheets
Arrival Sheets are a critical document for offshore locations, providing clear visibility into passenger assignments and safety information. The Helipass team recently revisited the formatting of this report to improve clarity and reduce confusion—especially for locations using the Lifeboat Tag feature.

Previously, multiple lifeboat tag fields appeared alongside muster and abandon station details, making the document harder to interpret at a glance.

What's new?

  • Lifeboat Tag display has been simplified to show only one assignment
  • The Day Primary Lifeboat Tag now appears prominently near the passenger’s ICS Role
  • Redundant lifeboat tag sections have been removed from the report

Why it matters?

This cleaner layout reduces confusion for both passengers and offshore staff. By clearly displaying a single lifeboat assignment in a consistent, prominent location, Arrival Sheets are now easier to read and interpret—especially in time‑sensitive or safety‑critical situations.

These formatting improvements make Arrival Sheets clearer, more intuitive, and better aligned with how offshore teams actually use them.

Worksite Users - Origin and Destination Editing Enabled when Adding Passengers to Request
When building travel requests from the Worksite or Schedule View pages, Helipass previously locked the Origin or Destination to the current facility. While this worked for most scenarios, it created limitations for real‑world edge cases—such as passengers being dropped at a flotel or alternate offshore location in the field.

To better support these workflows, Helipass has updated how Origins and Destinations behave in the Add Passenger to Request modal.

What's new?

  • The Worksite facility is still defaulted as the Origin or Destination
  • Users can now edit the Origin or Destination if needed
  • Reservations can be aligned more accurately with actual travel plans

Why it matters?

This change provides flexibility without sacrificing usability. Users can now handle real‑world travel scenarios without workarounds, ensuring requests are correctly tied to Scheduled Events and POB records while still supporting complex routing needs.

By allowing controlled edits to Origin and Destination fields, Helipass better reflects how offshore travel actually works in practice.

Worksite Users - Arrival Lists, Departure Lists, and Daily Arrivals/Departures export Now Showing All Trip Passengers
The Arrival List, Departure List, and Daily Arrival/Departure Reports are commonly used by offshore locations to plan upcoming movements. Historically, these reports only displayed passengers if they had no prior reservations—leading to missing passengers when someone flew out earlier in the week and returned later.

This update resolves that limitation.

What's new?

  • Reports now show all passengers on trips, regardless of current POB status
  • Passengers appear even if they had previous reservations earlier in the week
  • No dependency on POB application timing

Why it matters?

Offshore teams can now confidently post and plan for upcoming trips without worrying about missing names. This eliminates confusion, reduces manual checks, and ensures that wall postings and daily planning documents accurately reflect who is arriving and departing.

These report updates ensure Worksite teams always see the full picture of upcoming passenger movements.

Worksite Users - "Now" option added to the Muster and Lifeboat Count custom report
The Muster and Lifeboat Count Report can be run from the Custom Reporting area. However, unlike other reports, it previously required users to select a fixed date—making recurring schedules ineffective, as the same outdated report was emailed repeatedly. This limitation has now been addressed.

What's new?

  • A “Now” option has been added to the report
  • Recurring schedules can now send current, real‑time data
  • No need to manually update the report each day

Why it matters?

Users can now rely on automated delivery of accurate, up‑to‑date muster and lifeboat information. This saves time, reduces manual effort, and ensures safety‑critical data is always current.

With the addition of the “Now” option, this report finally behaves like other scheduled reports across Helipass.

Schedule View Users - Location specific VacTrain Events can be scheduled for passengers
Scheduled VacTrain events are used to represent when a passenger is unavailable due to training or temporary assignments. Previously, these events applied across all locations, which could unintentionally impact other facilities when a passenger was only unavailable at one specific location.

Helipass has now introduced location‑specific VacTrain events.

What's new?

  • VacTrain events can now be tied to a specific location
  • Other locations are no longer impacted by unrelated events
  • Option to apply events to all locations is still supported

Why it matters?

This gives each Worksite better control over their own scheduling without interfering with other locations. It prevents false conflicts, reduces confusion on the Schedule View, and more accurately reflects real operational availability.

Location‑specific VacTrain events allow teams to manage scheduling independently while preserving flexibility where needed.

Flight Planning Users - Refresh buttons added to clear weights easily in the Weights and Balance modals
Flight Planning users frequently need to recalculate weights and balances due to last‑minute changes—passengers being bumped, fuel legs added, or weather adjustments. Previously, refreshing calculations required users to exit the modal and reselect the aircraft, adding unnecessary steps.

Helipass has now streamlined this process.

What's new?

  • New Refresh Weights buttons added within the Weight & Balance modal
  • Ability to refresh weights for:
    • A single leg
    • The entire trip (from the Edit modal)
  • No need to exit or reset the transportation asset

Why it matters?

This saves Flight Planning users significant time and reduces friction during critical planning moments. Calculations can be refreshed instantly, keeping workflows fast, accurate, and stress‑free when changes occur.

With dedicated refresh controls, Flight Planning customers can quickly adapt to changes without breaking their flow.

Travel Request Users - Continued Improvements to the Travel Portal Experience
The Travel Portal project continues to evolve with a focus on giving passengers more visibility and control over their travel requests. Designed for tenants using the TRF workflow, the Travel Portal provides a central place for passengers to request travel, track progress, and manage their trips from start to finish.

Recent updates focus on better surfacing manifested trips to passengers within the web portal.

What's new?

  • Passengers can now more clearly see trips that have been manifested
  • Improved visibility into upcoming and historical travel
  • Continued enhancements to request management and trip tracking

Why it matters?

By giving passengers better insight into their travel status, the Travel Portal reduces uncertainty and follow‑up questions while empowering travelers to manage their own plans. For travel teams, this means fewer manual check‑ins and a more transparent end‑to‑end workflow.

Bug Fixes

Manifest Users - Route editing not persisting when building scheduled trips
The Reoccurring Trip Schedule page allows manifesting customers to define trips that are automatically generated on a recurring basis. A bug was identified where users were unable to edit the trip route after creating or copying a schedule unless they refreshed the page. This disrupted workflows and made building multiple schedules cumbersome.

What was happening?

  • Route fields became uneditable after saving or copying a schedule
  • Users had to refresh the page to continue working

What was fixed?

  • Modal state handling was corrected so each schedule opens cleanly
  • Routes can now be edited normally without page refreshes

Users can once again build and manage reoccurring trip schedules smoothly without interruptions or workarounds.

Cargo Users - Cargo approval workflow blocking valid cargo updates
Tenants using cargo approval workflows reported scenarios where cargo items became “stuck” once added to a manifest. Depending on Advanced Settings, users were unable to update cargo statuses or add checked‑in cargo if it originated as a requested item.

What was happening?

  • Cargo statuses could not be updated to Checked In or Processed
  • Requested cargo that was properly checked in could not be added to the manifest

What was fixed?

  • Cargo statuses can now be updated correctly once items are manifested
  • Checked‑in cargo can be added to trips regardless of whether it originated as a request

Cargo workflows now behave as intended, allowing teams to manage approvals without blocking legitimate operational updates.

Manifest Users - Link to trip in Reservation Profile not opening correctly
Passenger reservation profiles include quick links to open the associated request or trip. A bug caused the trip link to return an error page instead of opening the correct trip, disrupting navigation for users managing reservations.

What was happening?

  • Clicking the trip link resulted in an error page
  • Users had to manually navigate to the trip instead

What was fixed?

  • The URL used by the reservation link was corrected
  • Trip links now open the correct trip as expected

Users can once again rely on reservation profile links for quick, accurate navigation.

Flight Planning Users - Fuel values not properly rounding up the number of decimals on manifest
Flight Planning calculations rely on precise values that are typically rounded for readability. A rounding issue was identified where certain fuel values displayed excessive decimal places, creating visual noise and confusion.

What was happening?

  • Fuel values displayed long decimal strings
  • Final rounding was not consistently applied

What was fixed?

  • Proper rounding rules were enforced across affected calculations
  • Fuel values now display clean, consistent decimal precision

Flight Planning calculations now present clean, readable values while maintaining calculation accuracy.

Schedule View Users - Schedule View gantt breaking when sorting by Protected Positions and Protected Projects
The Schedule View includes sorting options for Protected Positions and Protected Projects, which help users filter and prioritize scheduling data. A bug caused the page to enter an invalid state when these sort options were used.

What was happening?

  • Sorting by Protected Positions or Projects broke the Schedule View
  • Users had to reload the page to recover

What was fixed?

  • Sorting logic was corrected for both options
  • Schedule View now sorts as expected without errors

Protected sorting options are now reliable again, allowing users to safely organize scheduling data.
