May 2025 Updates
ATTENTION: Plan Classic Page will no longer be available to users come August 1st
After years of transition and ongoing improvements, Helipass will officially sunset the Plan Classic page on August 1, 2025. For over five years, all system enhancements, performance updates, and new feature development have been focused on the modern Plan page. As a result, Plan Classic has become outdated and is no longer actively supported. Starting now, users will notice limited functionality on Plan Classic as it begins to shift into View-Only mode, with full deactivation scheduled for September.
If you're still using Plan Classic, now is the time to fully transition to the new Plan page, which already includes all critical functionality—and more. To support this transition, here are two helpful features in the current Plan page that you may not be aware of:
Pop Out Plan Page
Users can now open a specific Trip Plan page in a dedicated browser tab by clicking the Pen and Paper icon in the top-right corner of a Trip Tile. This action launches the Plan page with a unique URL for that trip. The URL can be refreshed as often as needed, making it easier to monitor check-ins in real time without losing your place.
Users can also hit the blue "Plan" button on the trip tile to open up the Trip's Plan page, however, this will not open it in a separate tab. Rather, it will open it up within the Manifest page and can be closed out to get back to the other trips that were being displayed before opening the Plan view.

Bulk Entering of Passenger and Cargo Weights
Many users may not realize that the new Plan page allows for bulk weight entry for passengers and cargo. You can select multiple passengers using the check boxes on the manifest (or choose “All On Items” from the dropdown), then click the Weigh In button. This opens a modal where you can quickly enter both body and bag weights. After submitting, the system also gives you the option to mark those passengers as Checked In, streamlining the process even further.
Note that the Popping Out and Mass Weigh In function also exist on the Request page.

System Updates
Helipass Users - System Updates made to further support for the new DD/MM/YYYY date format
As part of our ongoing efforts to support international clients, Helipass has made further updates to the system to support the DD/MM/YYYY date format for tenants who have opted in. With these updates, users will now see the correct date format reflected in more areas of the website, including:
- Exported files across the website
- Custom Reporting page and downloads
- Waivers and Future Waivers
- User management page
- Audit Log page
- Twelve-Five Check page
- Trip Schedule page
- FIDS pages
While the development team continues working to complete full support for this alternate date format, most major areas of the platform now correctly reflect the tenant’s configured date format. This ensures more consistent user experience and better alignment with regional standards.

Helipass Users - New Setting to surface Manifest Warning when Crew Weight is Zero
A new setting has been added to the Advanced Settings page to help Flight Planning customers avoid critical errors during the manifest process. When enabled, this feature will display a warning if the Crew Weight is left at zero on a trip manifest.
Accurate crew weight is essential for reliable weight and balance calculations. If it’s missing, users risk running incomplete calculations—potentially requiring them to revisit and reallocate the manifest before printing again. With the new warning enabled, a visible notice will alert manifest users and also appear on the printed manifest when crew weight is missing.
This added layer of validation helps streamline the planning process and ensures that calculations are based on complete, accurate data.

HPA Users - Allow Max Allowed Weight Enforcement for Cargo Stations in the HPA Process
To help improve cargo handling and flight safety, Helipass has released a new feature that allows customers to set and enforce weight limits on Cargo Stations, such as Racks, Carts, and Transports. This enhancement is especially important for HPA users managing aircraft with multiple cargo storage areas, each with its own weight restrictions.
With this feature enabled, users can now configure maximum weight thresholds for each Cargo Station, ensuring that no area exceeds its safe loading capacity. Whether it's a cart on the tarmac or a specific rack inside the aircraft, weight restrictions can now be proactively managed throughout the cargo lifecycle.
By enforcing these limits, customers can maintain compliance with operational guidelines, minimize safety risks, and improve efficiency during cargo loading and transfer.

HPA Users - Cargo Tag Bar Code Enhancements to identify Customer Tenant Support
As part of our continued efforts to enhance operations at service ports supporting multiple HPA customers, Helipass has updated the bar codes printed on Cargo Tags. These new bar codes now include additional data to identify the specific customer (tenant) the cargo item belongs to.
This enhancement lays the groundwork for future improvements to the HPA (Heliport Automation) system—ultimately aiming to allow a single scanning device to seamlessly handle cargo check-ins for multiple customers without needing to switch devices. These updates align with recent improvements made to the boarding pass and baggage tag bar codes and represent another step forward in building a unified and streamlined HPA experience.

Manifest Users - Ability to Delete an already Check-In passenger from a Request
A new feature enhancement has been released that allows manifest users to remove passengers from their original request reservation—even if they have already checked in. This addresses a long-standing issue where passengers who were checked in but did not ultimately fly (due to weather delays, weight limitations, failed screenings, etc.) would still appear in Forecasted POB reports and the Arrival Preset section.
With this update, manifest users can now cleanly remove these passengers from the request, ensuring more accurate forecasting and end-of-day reporting at the Worksite. Importantly, the passenger’s check-in history remains saved on their profile for auditing and historical reference, but their presence will no longer inflate arrival forecasts inaccurately.
This feature improves planning accuracy and reduces the manual cleanup previously required by Worksite users.

Worksite Users - Date Format support added to Worksite page downloaded files
A recent enhancement has been made to the files downloaded from the Worksite page to ensure better consistency and clarity across global tenants. The filenames for these downloaded reports will now reflect the date format configured for your tenant. Whether your system is set to use DD/MM/YYYY or MM/DD/YYYY, the filenames will now align accordingly.
This improvement ensures a more intuitive experience when managing and organizing files—especially for customers operating in regions where the standard date format differs from the Helipass default.

Cargo Approval Users - New Cargo Approval Report
A new Custom Report has been added for customers utilizing the Cargo Approval Process within Helipass. This report is designed to provide better visibility and tracking of cargo items that have been submitted for approval.
The report includes key information such as:
- Cargo Reservation ID and description
- Cargo weight
- Origin and destination
- Travel date
- Requester and approver details
- Approval status
- Notes associated with the cargo item
This new reporting tool empowers users to more effectively monitor and manage cargo as it moves through the planning and approval process, supporting operational clarity and compliance.

SSE Users - Inclusion of the new SSE Status in the Dynamic Status Engine, Status Rules, and Compliance Checks
Tenants using the Short Service Employee (SSE) tracking feature in Helipass can now take advantage of powerful new enhancements tied to our Dynamic Status Engine. Previously, users could designate SSE status within a passenger’s profile—but now, the Helipass system can drive Reservation Statuses automatically based on a passenger's SSE designation and other key details like their Company, Location, and Reservation Type.
With this update, passengers flagged as SSE will now have that compliance status reflected consistently across the system, including:
- Their Reservation Profile
- Their Personnel Profile
- Alongside their profile picture when scheduled
- In out-of-compliance warnings
- As well as other areas
These enhancements give customers greater control and visibility into how SSEs are being managed and ensure compliance policies can be enforced more proactively as part of the reservation and scheduling process.

Bug Fixes
Helipass Users - Performance Enhancements for Request Management and Worksite Panel Refresh
As part of our ongoing efforts to improve system performance and user experience, Helipass has released updates to optimize some previously inefficient queries. Two key areas were addressed in this effort:
Request Management Speed: Users previously reported sluggish performance when creating or opening requests within the system. With improvements made to the underlying query parameters, these actions should now execute much more quickly—reducing wait times and improving workflow efficiency.

Left Planning Panel Auto-Refresh Timing: The Left Planning Panel on the Worksite page refreshes automatically to ensure users have access to the most up-to-date data. However, the refresh rate was previously too aggressive, leading to a disruptive viewing experience. The auto-refresh interval has now been increased to every 5 minutes, offering a more user-friendly and stable view of Worksite planning data.
These enhancements aim to streamline daily operations and provide a smoother, more responsive experience for all users.

Helipass Users - Custom Report Downloads no longer failing when tenant is using DD/MM/YYYY date format
A bug issue has been resolved related to Custom Report downloads for tenants using the DD/MM/YYYY date format. Previously, users with this setting experienced issues where their custom reports would fail to deliver to their inbox and My Exports page due to the system being unable to correctly process the alternate date format.
The Helipass development team has addressed this issue, and Custom Reports should now be delivered successfully, regardless of whether the tenant is using the DD/MM/YYYY or MM/DD/YYYY format. This ensures reliable access to reporting across all supported regional settings.

Worksite Users - Inactive Lifeboat Tags no longer affecting Total Lifeboat Tag Counts in the Left Planning Panel
A bug was recently identified and resolved affecting Worksite locations that use Lifeboat Tags for tracking passengers. The issue occurred when lifeboat tags were created and later deleted—the deleted tags were still being counted in the total number of available tags shown in the Lifeboat Totals section of the Left Planning Panel.
This resulted in misleading tag availability values, potentially affecting lifeboat planning and occupancy assessments.
With the latest fix, only active lifeboat tags will be counted, ensuring that the totals displayed accurately reflect the available tags configured for each lifeboat. This improvement brings better clarity and confidence to lifeboat planning for Worksite users.
