May 2024 Update
System Updates
Manifest Users - We're excited to introduce a powerful new feature enhancement that provides users with greater flexibility and control when building requests in the Helipass system. Previously, our system alerted users when attempting to add passengers to a request who were out of compliance, on the No Access list, or already included in the request. While these warnings served as important safeguards, users lacked the ability to easily override them and proceed with adding the passengers to the request.
With our latest feature enhancement, users now have the option to override compliance warnings and proceed with adding out-of-compliance passengers to the request. When adding passengers from the Worksite area or from a Crew, users in tenants that have the "Show Compliance Warnings on Request" setting turned on will receive popup messages describing the issues with the passengers.
At this point, users can choose to proceed and add the out-of-compliance passengers to the request, or they can opt to go back and address the issues for those passengers before adding them. This enhancement provides users with greater flexibility while ensuring compliance with safety and regulatory requirements.
We believe that this feature enhancement will streamline request management processes and empower users to make informed decisions. Thank you for your continued feedback as we strive to improve the Helipass system.
HPA Users - We’re pleased to introduce a new feature enhancement for our Heliport Automation (HPA) users that streamlines the process of marking trip manifests as ready. The HPA system requires trip planners to mark the trip manifest as ready before passengers, bags, and cargo can begin the boarding process. This important step ensures that everything is in order for the flight execution.
Previously, this "Manifest Is Ready" checkbox was only available on the Briefing Management page. With our recent update, users can now mark the manifest as ready directly from the Edit/Actual modal on the trip itself. If the Advanced Setting for "Show Manifest Is Ready" is enabled, manifest users with Edit Trip permissions will now see an option at the top of the Edit window for the trip. Additionally, the time the manifest was marked as ready will be displayed on the Trip tile.
This new feature simplifies and speeds up the workflow for marking a manifest as ready, providing greater visibility for other users who need to know this status.
Report Users - We have recently made a change to our custom reporting capabilities aimed at improving system performance and ensuring a seamless user experience for all Helipass customers. With many of our customers accumulating vast amounts of data over the years, there's a potential risk of negative side effects when queuing extremely large datasets for download. This could impact the performance of our reporting tooling for other users.
To mitigate this risk, we've implemented a new policy that limits the data range for reports downloaded from the Custom Reporting page to a maximum of two years. Users will now be restricted to downloading two years' worth of data per download. However, we've made it easy for users to adjust the date range to pull additional years as needed.
For customers with API integration, we encourage you to explore alternative reporting solutions such as Power BI and other tools when dealing with extremely large data pulls. These tools offer more flexibility and scalability for handling large datasets while minimizing the impact on system performance.
We believe that this change will help optimize system performance and ensure a smooth reporting experience for all Helipass users.
Compliance Users - We're thrilled to introduce a new feature that enhances the management of course certificates for passengers within the Helipass system. As part of our commitment to providing comprehensive compliance solutions, we understand the importance of documenting and verifying the completion of required courses for passengers traveling on our platform.
With this new feature, Helipass users now have the ability to upload images of course certificate documents directly to a passenger's profile. These documents serve as confirmation of course completion, training, or medical evaluations, ensuring compliance with regulatory requirements.
This initial iteration of the feature allows users to easily upload certificates for courses, providing a convenient way to review and verify passenger compliance for future trips. However, we're not stopping here. We have plans to further enhance this feature with additional functionalities, including proper permissions and restrictions to accommodate a more robust review and approval process.
As we roll out this new feature, we encourage users to collaborate with their system administrators to ensure that processes align with company policies and procedures. By working together, we can ensure that the uploaded information remains accurate and compliant.
We're excited about the possibilities that this feature brings and look forward to continuing to improve our platform to better meet your needs. Thank you for your continued support and feedback as we strive to provide you with the best possible experience.
Schedule View Users - We’re excited to announce an update to the data sent to the API from the Schedule View area of the website. The Schedule View allows users to plan work activities and passenger movements months and years in advance, providing invaluable insight for better planning and forecasting at their locations.
With this update, more comprehensive and accurate Schedule View information is being fed into the API. This enhancement will enable customers leveraging the API data to have a richer dataset to target goals and plan work more effectively. Improved data integration will support better decision-making and operational efficiency.
Bug Fixes
Worksite Users - We're excited to announce an important update that enhances the compliance checks when adding passengers to requests within the Helipass system. Recently, it was reported that passengers being added to a request from a crew or directly from the Personnel On Board (POB) were incorrectly flagged as non-compliant, even if they should have been marked as compliant based on the dynamic status rules configured in the tenant.
Previously, when adding passengers from these areas, the system would consider the passengers' overall Go Status rather than their Go Status for the specific reservation being created. This resulted in users having to manually add compliant passengers to the request to bypass the out-of-compliance warning.
We're pleased to announce that Helipass has released an update to address this issue. Now, when the "Show Compliance Warnings when Managing Request" flag is turned on, users will only be notified of passengers that are truly out of compliance based on the details of that reservation. This ensures that passengers on crews or on the POB are correctly evaluated for compliance with the specific reservation being created.
HPA Users - We're pleased to announce that we've resolved a bug related to notifications for Heliport Automation (HPA) Devices. The HPA system plays a crucial role in facilitating communication between pilots, flight coordinators, and fuel teams by notifying fuelers of fuel orders entered by pilots and flight coordinators.
It was discovered that HPA devices were no longer receiving these notifications as intended. This issue impacted the smooth execution of flight operations and hindered communication between teams.
After thorough investigation and troubleshooting, our team successfully identified and resolved the underlying issue. We're delighted to confirm that Helipass customers utilizing the HPA services should once again see notifications for requested fuel coming through to the devices for the fuelers.
We believe that this bug fix will greatly improve communication and coordination between the various teams involved in executing successful flights.
Helipass Users - We're excited to share that we've resolved a bug related to web registrations for passenger profiles. It was brought to our attention that ISN Numbers entered for passengers during web registrations were not being properly saved in the system.
This issue resulted in double work for users, as they had to complete the registration for the passenger and then locate their profile separately to add the ISN Number again. This not only caused inconvenience but also impacted the efficiency of the registration process.
Our team has successfully identified and addressed the bug, and users can once again enter the ISN information for passengers during web registrations without any issues. This enhancement streamlines the registration process and ensures that ISN Numbers are captured accurately from the outset.
Kiosk Users - We have addressed a bug affecting the kiosk functionality. Previously, passengers using a kiosk were given the ability to delete courses from their profile, but it was reported that this new feature was not working as expected.
We have rolled out a fix to ensure passengers can now successfully remove expired courses from their profile while interacting with the kiosk during check-in. This improvement helps maintain accurate and up-to-date course records for passengers.

Marking Cost Codes and Locations as Favorites
Are you a user who constantly uses the same cost code(s) or location(s) when building out reservations, managing your POB, running reports, etc.? Searching through the list of cost codes and locations that are in your Helipass system can take up precious time that could be used else where.
The Helipass system has a neat feature to set cost codes and locations as favorites that every user can use to their advantage. When cost codes or locations are set as a favorites, they will appear at the very top of the list when the drop down menu is opened throughout the website. A location can even be marked as a users' home location by selecting the house icon. This will place that location at the very top of the list, as well as taking the user directly to that Worksite when the Worksite Home link is selected from the top menu bar.
