ATTENTION: Plan Classic Page will no longer be available to users come August 1st

After years of transition and ongoing improvements, Helipass will officially sunset the Plan Classic page on August 1, 2025. For over five years, all system enhancements, performance updates, and new feature development have been focused on the modern Plan page. As a result, Plan Classic has become outdated and is no longer actively supported. Starting now, users will notice limited functionality on Plan Classic as it begins to shift into View-Only mode, with full deactivation scheduled for September.

If you're still using Plan Classic, now is the time to fully transition to the new Plan page, which already includes all critical functionality—and more. To support this transition, here are two helpful features in the current Plan page that you may not be aware of:

Pop Out Plan Page

Users can now open a specific Trip Plan page in a dedicated browser tab by clicking the Pen and Paper icon in the top-right corner of a Trip Tile. This action launches the Plan page with a unique URL for that trip. The URL can be refreshed as often as needed, making it easier to monitor check-ins in real time without losing your place.

Users can also hit the blue "Plan" button on the trip tile to open up the Trip's Plan page, however, this will not open it in a separate tab. Rather, it will open it up within the Manifest page and can be closed out to get back to the other trips that were being displayed before opening the Plan view.

Bulk Entering of Passenger and Cargo Weights

Many users may not realize that the new Plan page allows for bulk weight entry for passengers and cargo. You can select multiple passengers using the check boxes on the manifest (or choose “All On Items” from the dropdown), then click the Weigh In button. This opens a modal where you can quickly enter both body and bag weights. After submitting, the system also gives you the option to mark those passengers as Checked In, streamlining the process even further.

Note that the Popping Out and Mass Weigh In function also exist on the Request page.

System Updates

Helipass Admin - Configurable Average Deck Time for Trip Planning
The Helipass team has introduced a new Advanced Setting that gives each customer tenant more control over what the default Average Deck Time should be used when planning trips.

What's Deck Time?
It’s the time it takes for an aircraft to land, swap out passengers, and refuel at a facility. Previously, Helipass used a fixed 15-minute Deck Time for all tenants — a one-size-fits-all approach that did not reflect the operational realities of different regions or customers.

What's New?
Tenant admins can now configure the average Deck Time to better align with their actual operations. This means more accurate route planning and improved scheduling efficiency across the board.

Helipass Admin - Turn On/Off Cargo Approval Notification Emails
The Helipass team continues to enhance the Cargo Approval workflow, giving tenants more flexibility and control over how cargo is managed — from request to check-in to manifesting.

What's New?
A new Advanced Setting now allows tenant admins to toggle Cargo Approval Notification Emails on or off.

  • When enabled: Approvers will receive notifications as cargo items are submitted for approval.
  • When disabled: No emails are sent, allowing tenants to configure and test their approval workflows without flooding inboxes.

Why It Matters?
This setting gives teams the ability to fine-tune their cargo approval process before going live — ensuring a smoother roll-out and better communication once the workflow is fully operational.

Manifest Users - Requiring Cargo Category to be Entered for Cargo
To improve cargo tracking and reporting, the Helipass team has updated the system to require a Cargo Category for every piece of cargo before it can be added to a trip manifest.

What's New?
For tenants using the Cargo Category Field, this value must now be entered when cargo is:

  • Requested
  • Manifested
  • Checked In (via web or cargo kiosk)

If the cargo item does not have its Cargo Category information filled out, the user will be unable to add the cargo item to a trip manifest.

Why It Matters?
This update ensures that cargo is consistently categorized, providing greater visibility across the workflow. It also enhances reporting accuracy and ensures that the correct data is passed through to each tenant’s API.

Worksite Users - New Worksite Movement Forecast Report (Australia Region Only)
A new Worksite Movement Forecast report is now available on the Worksite page, designed to give facilities a clear view of upcoming passenger and cargo activity.

What's New?
This report allows users to select a custom date range and view:

  • All arriving and departing passengers and cargo manifested on trips
  • Passengers who are only on requests, listed separately for each day
  • Contextual details like Saved Arrival Presets (room/bunk), ICS Roles, and Primary Abandon Station
  • running Estimated POB (Persons On Board) total based on reservations across the selected range

Why It's Useful?
This report helps facilities forecast movement, plan resources, and coordinate logistics more effectively — all in one downloadable view. It can also be used as a way to look at historical information as well.

Notice: This report provides an estimated Forecasted POB Total based off of the reservations for passengers in the system. If a passenger is no longer coming or leaving the facility, the reservation must be managed accordingly to keep the forecast accurate.

To ensure the running Forecasted POB Totals that are displayed in the report are as accurate as possible, the current date must be included in the date range.

Currently, this report is only available in the Australia region. It will be rolled out to the Gulf of Mexico and Guyana regions once the broader UTC date handling project is completed.

Manifest Users - Manifest Export Now Supports Rounding to Two Decimal Places
As part of ongoing Flight Planning enhancements, the Helipass team has improved the Trip Manifest export to support up to two decimal places for key weight values.

What's New?
The printed manifest now displays weights rounded up to two decimal places for:

  • Passenger Body Weight
  • Bag Weight
  • Cargo Weight
  • Crew Weight
  • TO Weight
  • Fuel Weight
  • Payload Weight
  • Center of Gravity
  • Weight and Total Summaries

Why It Matters?
This added precision ensures that manifest users have more accurate data when calculating Weight & Balance and Center of Gravity for each trip — leading to safer and more reliable flight planning.

Do note that the team is working to display values as whole numbers when no decimal values are present.

Worksite Users - New Sorting Options for the Muster Point Export
Worksite users now have more flexibility when generating Muster Point reports, thanks to a new sorting enhancement added to the Worksite page.

What's New?
Users can now choose how passengers are sorted in the Muster Point export by:

  • Passenger Name
  • ICS Role
  • ICS Role Symbol

Why It Matters?
This update makes it easier to group and identify passengers based on their Incident Command Structure (ICS) roles, especially those with emergency response responsibilities. Whether you're organizing by name or role, this enhancement helps streamline muster planning and improve situational awareness during drills or real events.

Manifest Users - New CASA Compliant, A5 Manifest, Available to Print (Australia Only)
The Helipass team has introduced a new Manifest printout tailored specifically for our Australian tenant users. This update ensures full compliance with the Civil Aviation Safety Authority (CASA) requirements and is designed to streamline operations for pilots in the region.

Key Highlights:

  • A5 Format: Compact and Efficient, perfect for pilot knee boards
  • CASA Compliant: Meets all Australian Government aviation documentation standards
  • Pilot-Friendly Fields: Includes blank sections for pilots to manually record essential trip details
  • Operationally Ready: Provides all the necessary information for safe and compliant flight logging

This enhancement ensures that pilots in the Australia Region have exactly what they need for both pre-flight planning and post-flight documentation.

API Users - New Fields for Job Title and SSE Added to the API
We’ve expanded the API to include new fields that support recently introduced features, giving tenants greater visibility and control over their data.

What's New?

  • Job Title Fields: Capture and report on passenger job titles for better role-based insights
  • Short Service Employees (SSE): Identify and track SSEs for compliance and safety monitoring
  • SSE Notes: Additional contextual notes related to the SSE status for more detailed reporting

These additions empower tenants who are leveraging these features to access richer, more actionable data downstream, improving both operational oversight and compliance tracking.

Helipass Users - Additional Support Added to the Status Engine and Offshore Kiosk for DD/MM/YYYY Date Format
To better serve our global tenant base, Helipass has rolled out expanded support for the DD/MM/YYYY date format, addressing the needs of regions outside North America.

What's New?

  • Regional Flexibility: Tenants can now choose between MM/DD/YYYY and DD/MM/YYYY formats based on their business needs in the region
  • System-Wide Overhaul: The entire platform has been reworked to support both formats consistently
  • Status Engine Update: Now accurately flags passenger compliance statuses using the select date format
  • Offshore Kiosk (OSK) Enhancements: All date pickers and displays in the OSK now reflect the tenant's chosen format, ensuring clarity and consistency

These updates ensure that date-sensitive operations and compliance tracking work seamlessly across all supported regions.

API Users - API Now Live for Australian Customer
We’re excited to announce that the API has officially been stood up for our Australian customer, enabling seamless access to their data and services.

What's New?

  • API services are now fully operational for the Australian region
  • Initial issues with token authentication failures were quickly identified and resolved
  • Customers can now successfully connect and retrieve data through the API as expected

This update ensures reliable integration and data access, supporting operational efficiency and reporting needs for our Australian tenants.

Helipass Users - Metric Units Now Supported Across the System
To better support international tenants, Helipass now offers full system support for metric units of measure. With this enhancement, tenants can be configured to display kilograms and kilometers instead of the default pounds and miles.

Bug Fixes

Admin Users - User Group Assignment Error Resolved for DD/MM/YYYY Date Format
A bug affecting tenants using the DD/MM/YYYY date format has now been resolved. Previously, users encountered errors when trying to assign individuals to User Groups via the User/User Group pages.

What's Fixed?

  • Assigning User Groups to Users now works seamlessly for tenants using the DD/MM/YYYY format
  • The issue stemmed from date format conflicts during save operations, which have now been fully addressed

This fix ensures that user management functions operate smoothly across all supported date formats.

Helipass Users - Waiver Filters for +UTC Time Zones Resolved
A bug affecting passenger waiver date accuracy in tenants operating on the +UTC side of the day has now been fixed. Previously, waivers issued for early morning trips in these regions were incorrectly appearing under the previous day’s filter on the Waiver page.

What Was Happening?

  • Time zone conversion was placing waiver records on the wrong side of the UTC boundary
  • This caused confusion when searching for waivers by date, especially for early flights

What's Fixed?

  • Waivers now correctly align with the actual reservation date, regardless of the tenant’s time zone
  • Date filters on the Waiver page now reflect the true issuance day, improving accuracy and usability

This fix ensures reliable waiver tracking for all tenants, especially those operating in regions ahead of UTC.

Do note that this issue was only affecting the Australian Region as the new UTC capabilities have not been rolled out system wide.

Helipass Users - "Deliver By Date" Display Issue in a Passenger's Reservation Profile Resolved for DD/MM/YYYY Format
A bug affecting the Deliver By Date display in the Passenger Reservation Profile has been resolved. Tenants using the DD/MM/YYYY date format may have noticed that this field was showing a string of letters and numbers instead of the correct date and time.

What Was Happening?

  • The issue was tied to how the system interpreted date formats in certain tenant configurations

What's Fixed?

  • The Deliver By Date now displays accurately and clearly for all tenants using the DD/MM/YYYY format

This fix ensures that reservation timelines are easy to read and reliable across all supported date formats.

Helipass Users - MSIC ID Scanning & Editing Issues Resolved for Australia Region
An issue affecting the newly introduced MSIC ID type in the Australia Region has been successfully addressed.

What Was Happening?

  • Intermittent Scanning Failures: MSIC IDs were not consistently scanning as expected
  • Editing Restrictions: After a failed scan at the kiosk, users were unable to manually update the MSIC expiration date

What's Fixed?

  • Scanning reliability has been improved for MSIC IDs
  • Manual editing of expiration dates is now fully supported

These fixes ensure smoother passenger check-in experiences and better compliance tracking for Australian tenants.
