System Updates
Worksite Users - Forecasted Bunk Report added to the Custom Reporting page
We’re excited to announce the addition of the Forecasted Bunk Report to the Custom Reporting page for our Worksite users! This new report allows users to look ahead at future bunk availability based on the reservations of arriving and departing passengers, along with their assigned bunks.
This report will help streamline bunk management, ensuring that your location runs smoothly and efficiently.
Key Features of the Forecasted Bunk Report:
- View future bunk availability at your location, ensuring you can efficiently assign bunks and avoid double bookings.
- Option to include passenger names to see who will be occupying specific bunks on any given date.
- Customize the report date range to project availability over a selected period.
- Set the report to email you automatically by choosing a recurrence schedule—perfect for keeping track of changes over time.
Flight Planning Users - Remaining Available Fuel surfaced on Weights & Balance popup modal
The Flight Planning module in Helipass helps users configure their aircraft to provide accurate weights, balance, and center of gravity calculations. To further enhance this functionality, a new data point has been added to the Weights & Balance popup modal for each trip leg—Remaining Available Fuel.
Another feature enhancement made to the Weights & Balance modal is the introduction of alerts in the modal when the leg is going to be overweight. Alongside the alerts, additional features to prevent entering more fuel than the fuel tanks can actually hold have also been introduced.
This new feature allows planners and pilots to easily see how much additional fuel can be added once all calculations are taken into account. With this information surfaced, flight teams can make better-informed decisions in cases where flight plans may change, such as due to weather or emergencies. This update helps ensure efficient planning and reduces the risk of insufficient fuel reserves on flights.
Helipass Users - Email Verification now required for users during the registering process
To enhance security and ensure accuracy during user registrations, Helipass has introduced a new Email Verification feature. Now, when new users register for a profile, they will receive a security code via email, which must be entered into the Email Verification prompt.
Key Details of the New Feature:
- New users will receive a security code at the email address they provide.
- The code must be entered into the Email Verification prompt to proceed with registration.
- This added step ensures users are using valid email addresses and helps confirm their identity.
By adding this security measure, we are improving the safety and accuracy of user registrations, ensuring that all users are verified properly before completing the registration process.
Manifest Users - Service Port Restrictions now enforced on the Trips page
Helipass has recently enhanced its Service Port Management Restrictions feature, expanding its functionality across more areas of the platform. Previously, these restrictions only applied to the Check-In page, limiting users from viewing check-ins from other service ports.
With the new enhancements, Service Port Restrictions now apply to the Trips page as well. Here's how it works:
- Users restricted to specific service ports will only be able to view trips associated with those ports.
- When building trip routes, users will only see locations tied to their authorized service ports.
- This restriction also affects a user’s ability to create trip routes involving ports they do not have access to.
This improved control helps administrators manage access and visibility over trip planning, ensuring better data security and operational control.
Tenant Admins who are interested in turning the Service Port Restrictions on can read a step-by-step guide here.
Worksite Users - Surfacing Position Competencies on Worksite reports (Arrival Sheets and Arrival List)
Helipass now offers enhanced reporting functionality for Position Competencies, enabling Worksite users to manage training and role-specific qualifications more efficiently. Some facilities require annual lifeboat training for passengers, and now, Helipass can track when training was received and flag passengers who need the training while on board.
With this update, Worksite users can add a selected Position Competency and the passenger's expiration date to Arrival Sheets and Arrival Lists. Due to these reports being fixed sized PDF's, only a single Position Competency can be selected when downloading. This ensures that a competency required for all passengers indiscriminately can be surfaced on these two passenger facing reports.
This enhancement is set to improve compliance tracking and operational efficiency for Worksites relying on competency-based training requirements!

Worksite Users - Surfacing Position Competencies on the Future POB Assignments report
In addition to the inclusion of Position Competencies on the Arrival Sheet and Arrival List, users have another option for more extensive competency tracking.
The Future POB Assignment report in the Custom Reporting section now allows multiple competencies to be selected and included in the export. This allows Worksite users to forecast upcoming passenger training needs and competency expiration with greater accuracy. This can include competencies for things like Fire Fighter Training, Crane Operations, OIM competencies, and more.
Do note that a bug was reported when running the Future POB Assignment report into the future with Position Competencies included.
The Helipass team is working to address the issue with this report and a fix is expected to make it out soon.
Worksite Users - Introduction of Lifeboat Tag assignments for POB passengers
Helipass has introduced a new Lifeboat Tag Assignments feature, providing Worksite users the ability to assign lifeboat tags to passengers during their stay at a facility. When this feature is enabled, users will see a new tag icon on the Lifeboat tab in the Asset Configuration modal, allowing them to enter and manage tag numbers associated with each lifeboat.
Key highlights include:
- Tag Assignments: Worksite users can assign lifeboat tags to POB passengers in Arrival Presets, Passenger Defaults, and on the POB List.
- Automatic Filtering: If a lifeboat assignment is already entered, the Lifeboat Tag drop-down will only show tags associated with that lifeboat. If no lifeboat is selected, all available tags will be displayed.
- Missing Assignments Notification: Users will be notified of any POB passengers missing lifeboat tag assignments, ensuring all passengers are correctly assigned.
Over the next few weeks, expect to see these tag assignments show up on various reports like the Abandon Station report, Muster Point report, Arrival Sheet, Arrival List, Departure List, POB Report, and the Future POB Assignment custom report! Sorting by Lifeboat Tags will also be an available option for the Abandon Station and Muster Point reports to assist in emergency situations!
If you are interested in having the Lifeboat Tag feature turned on, please reach out to your Helipass Admin so they can enable the feature for your location.
Bug Fixes
Worksite Users - Forecasted Bunk Assignment report not displaying rooms and bunks properly
We are pleased to announce a recent fix for an issue impacting the Forecasted Bunk Assignment report. Worksite users had reported that the custom report was not correctly listing or sorting the rooms and bunks for their locations.
The development team has addressed this issue, and users can now expect the report to accurately display all room and bunk information as expected. This fix ensures that your future bunk availability reports are as reliable as ever!
Worksite Users - POB Reports incorrectly showing passengers as departed due to issue with bad Estimated Departure Dates being saved
A bug was identified on the Worksite page affecting passengers’ Estimated Departure Dates. The issue occurred when a passenger’s departure reservation, linked to their POB record, was moved to a different day. In this scenario, the older Estimated Departure Date would sometimes remain in the system behind a grayed-out date visible to the user. If the older date was earlier than the new reservation, the passenger could be incorrectly excluded from reports and future counts.
With the release of this bug fix, users will no longer encounter mismatched Estimated Departure Dates, ensuring accurate passenger forecasting and improved management of future Worksite counts.
