September 2025 Updates
Reminder: Upcoming UTC Time Conversion Enhancements
Helipass is preparing to roll out a major update to support UTC time conversions and localization across all tenant regions. These enhancements have already been successfully implemented in the Australia region, which operates on the + side of UTC, and will soon be merged into the core Helipass tenant used by all customers.
What Is Changing?
- System-wide updates to handle UTC time conversion accurately across all modules.
- Improved localization for tenants + UTC time zones.
- Merging of code forks to unify the platform and ensure consistent behavior.
What To Expect?
- Thorough testing is underway to ensure a smooth roll out early-mid November
- Some areas may still incorrectly show unexpected date shifts (e.g., data appearing a day early or late) depending on your region.
- Users are encouraged to monitor date and time displays closely after the update and report any anomalies.
Please check your Time Zone setting in your Helipass User Profile to ensure it reflects your actual location. This will help the system display and process time-sensitive data correctly once the update is live.
To check or update your time zone:
- Click your name in the top right corner of the screen
- Select “View Profile”
- Review your Time Zone
- If needed, select the correct time zone and click “Update Profile”
This is a critical enhancement that will improve accuracy and usability for all global users. The Helipass team is committed to resolving any issues quickly and ensuring a seamless transition.

System Updates
HPA Users - Metric System Support Added to Heliport Automation Devices
Helipass has expanded its unit of measure support to include the metric system across all tenant configurations. This enhancement ensures that HPA handheld devices now display weights in kilograms when the tenant is set to use metric units.
What's New?
- HPA devices now respect the tenant’s unit of measure setting.
- Passenger, bag, and cargo weights are displayed in kilograms instead of pounds when metric is selected.
Why It Matters?
Previously, HPA devices only displayed weights in pounds, even for tenants using metric settings elsewhere in the system. This update eliminates confusion and ensures consistency across all touch points.
With this enhancement, users can now rely on accurate and localized weight displays during check-in and manifesting — improving clarity and reducing errors.

HPA Users - Manual Process Briefing Option Added to the Briefing Management Page
A new feature has been added to the Briefing Management page to support more flexible trip execution workflows. HPA customers can now manually mark briefing as processed without scanning all passengers into briefing. This will then indicate that the briefing has been completed.
What's New?
- Users can bypass the scanning process and directly mark briefing as complete.
- This update supports tenants who do not scan passengers into briefing.
- It also provides a fallback option when HPA devices experience connectivity issues.
Why It Matters?
Previously, briefing status could only be updated via handheld device scans, which caused delays when devices failed or scanning was not part of the workflow. This new option improves communication, efficiency, and operational flexibility at the base.
Teams can now ensure briefing status is accurately reflected on FIDS boards, even when scanning is not possible — helping cross-functional teams stay aligned.

Worksite Users - Duplicate or Mismatched Lifeboat Tags now Display in Banner Warnings
Helipass has introduced new assignment conflict warnings for locations using the Lifeboat Tag (LBT) feature. These alerts help Worksite users catch issues before reports are printed.
What's New?
New banner warnings appear when:
- A passenger is assigned a duplicate Lifeboat Tag.
- A Lifeboat Tag does not match the lifeboat the passenger is assigned to.
Why It Matters?
Incorrect Lifeboat Tag assignments can lead to confusion and reprints of POB reports. These new warnings help users catch and correct issues early — saving time and reducing paper waste.
Worksite users can now manage Lifeboat Tag assignments with greater confidence, ensuring accuracy before reports are finalized.

Flight Planning Users - Trip Edit Modal can Now be Saved Despite Calculation Errors
Flight Planning users now have more flexibility when editing trips. A new update allows users to save the Edit Trip modal even if weight & balance or center of gravity calculations are incomplete or contain errors.
What's New?
- Users can save trip edits without needing to resolve all calculation errors immediately.
- Errors will continue to display on:
- Edit Trip modal
- Trip tiles
- Manifest page
- Printed manifest
Why It Matters?
Previously, users were blocked from saving trip changes unless all calculations were complete. This update allows flight planning to continue smoothly — even when some data is pending.
Flight Planning users can now update trip details without delay, while still being reminded to resolve any outstanding errors before departure.

Manifest Users - Improved Trip Transfer Dropdown Filtering
Helipass has enhanced the trip transfer feature to make selecting the correct destination trip easier and more intuitive for Manifest users.
What's New?
- The dropdown list now shows only trips on the selected date.
- Trips are further filtered to match the correct route for the passenger or cargo being transferred.
Why It Matters?
Previously, the dropdown displayed trips across multiple days, making it hard to find the right one. This update simplifies the transfer process and reduces errors.
Manifest users can now transfer passengers and cargo more efficiently, especially when moving items between trips on different days.

API Users - New Data Points Added to the ETL and API for Customer Reporting
Helipass has expanded its API capabilities to include several new data points, giving reporting customers more visibility into trip and cargo details.
What's New?
- Cargo Categories
- Callsign IDs on Trips
- Webcat Course Information
- Personnel HP ID Filter
Why It Matters?
These additions help customers build more complete reports and make better business decisions based on the data entered in Helipass.
With these new data points available via the API, downstream reporting becomes more powerful and aligned with operational needs.

Manifest Users- Email Notifications Now Include the Trip Route
Helipass has enhanced the Email Notifications sent to trip passengers by including the full trip route in the message. This gives passengers a clearer view of their travel itinerary.
What's New?
- Email notifications now show all stops along the trip route
Why It Matters?
Previously, passengers only saw their start and end points. This new detail helps passengers understand how many stops are involved and where they fit in the journey — reducing confusion and preventing early disembarkation.
With this update, passengers are better informed and more confident about their travel plans.

Australia Users - WebCat Compliance Integration Now Live
Helipass has completed a new integration with WebCat, a third-party system used to track passenger compliance for travel in the Australian region. This integration allows Helipass to pull compliance statuses directly from WebCat.
What's New?
- Helipass now connects to the WebCat API to check passenger compliance.
- Supports linking and checking compliance for existing and newly registered passengers.
- Tracks and audits changes made to WebCat IDs within Helipass.
Why It Matters?
WebCat holds critical data used to determine if passengers are cleared to travel. By integrating with WebCat, Helipass ensures compliance checks are automated and accurate — reducing manual work and improving safety.
This update strengthens Helipass’s commitment to providing tailored business solutions that meet regional needs and regulatory standards.

A bug was discovered in the Cargo Tag printouts related to Check-In dates for tenants operating in UTC+ regions, such as Australia.
What Was Happening?
- The printed Check-In date was showing as one day earlier than the actual check-in time.
- This was caused by incorrect UTC time conversions in the tag generation logic.
What Was Fixed?
- The Cargo Tag printout logic was updated to apply proper UTC conversions.
- Check-In dates now reflect the accurate local time at the Service Port.
With this fix, Cargo Tags now display the correct Check-In date across all regions, ensuring consistency and reducing confusion for logistics teams.

- When users downloaded the TRF report, the approver fields did not match what was displayed on the website.
- This caused confusion during the approval and review process for travel requests.
What Was Fixed?
- The report logic was corrected to ensure the BLM and LCM Approver columns now pull the correct data from the system.
TRF users can now rely on the downloaded reports to reflect accurate approval information, improving clarity and supporting smoother travel request processing.
