NOTICE: New Pilot Profile Feature To Be Released

A new enhancement is on the way for all Helipass tenants using manifesting: the introduction of the Pilot Profile feature. This update will replace the current free-text entry method for Captain and First Officer names with a more structured and reliable approach.

What Is Changing?

  • Users will now create Pilot Profiles that store each pilot’s name and default weight.
  • Once profiles are created, users can select pilots from a dropdown list—no more manual typing.
  • The pilot’s weight will be automatically included in flight planning, ensuring accurate and consistent data.
  • If a pilot’s weight changes, users can simply update the profile, and the change will be reflected in future manifests.

This feature streamlines the manifesting process, improves data accuracy, and saves time for users managing flight crews.

To make this transition as seamless as possible, all Captain and First Officers that have been entered in the last 6 months will be pre-populated in the dropdown list for you.

REMINDER: Upcoming System-Wide UTC Time Conversion Enhancements

Helipass is preparing to roll out a major update to support UTC time conversions and localization across all tenant regions. These enhancements have already been successfully implemented in the Australia region, which operates on the + side of UTC, and will soon be merged into the core Helipass tenant used by all customers.

What Is Changing?

  • System-wide updates to handle UTC time conversion accurately across all modules.
  • Improved localization for tenants + UTC time zones.
  • Merging of code forks to unify the platform and ensure consistent behavior.

What To Expect?

  • Thorough testing is underway to ensure a smooth roll out early September
  • Some areas may still incorrectly show unexpected date shifts (e.g., data appearing a day early or late) depending on your region.
  • Users are encouraged to monitor date and time displays closely after the update and report any anomalies.

Please check your Time Zone setting in your Helipass User Profile to ensure it reflects your actual location. This will help the system display and process time-sensitive data correctly once the update is live.

To check or update your time zone:

  • Click your name in the top right corner of the screen
  • Select “View Profile”
  • Review your Time Zone
  • If needed, select the correct time zone and click “Update Profile”

This is a critical enhancement that will improve accuracy and usability for all global users. The Helipass team is committed to resolving any issues quickly and ensuring a seamless transition.

System Updates

Manifest Users - Cargo Can Now Be Transferred from Request to Request
Helipass has expanded its Request transfer capabilities to include Cargo items, making it easier than ever to manage changes in reservation dates.

What's New?

  • Users can now transfer cargo between requests just like they do with passengers.
  • Simply check the box next to the cargo item, click Transfer, select the target date, and choose the request to move it to.
  • No need to delete and recreate cargo entries when plans change—just transfer and go!

This enhancement streamlines cargo management and saves time for users handling frequent schedule adjustments.

Helipass Users - New Reservation Report Added to the Personnel Page (Australia Only)
A powerful new Reservation Report is now available on the Personnel Page, giving users a clear snapshot of upcoming passenger reservations over a selected date range.

What's New?

  • Users can download the report and see a lists passengers with trip and request reservations within the chosen time frame.
  • Includes key details like companyjob titleGo Statustrip/request namesreservation dates, and origin/destination.
  • Filter by company to narrow down results.
  • Focal Point users can access the report—but only for passengers tied to their assigned company.

This report helps planners and Focal Point users proactively monitor upcoming travel and identify potential compliance issues before they impact operations.

Currently, this report is only available in the Australia region. It will be rolled out to the Gulf of Mexico and Guyana regions once the broader UTC date handling project is completed in the coming weeks.

Tenant Admin - New Feature to Send Email Notifications for Trip Reservations
Helipass has introduced a new Email Notification feature that allows passengers to receive trip details directly via email—perfect for those who passengers who don’t use the mobile app.

What's New?

  • Passengers will now receive emails with trip timesorigin and destination, and check-in window details (if configured).
  • Tenants can enable this feature in the Advanced Settings area.
  • Email notifications mirror the same updates previously only available through the Helipass mobile app.
  • Check-In Start Time Offset and Check-In Closing Time Offset can now be set for the Service Ports via the Location page.

This enhancement ensures that all passengers stay informed, regardless of whether they’ve downloaded the app.

Notice: This Email Notification feature is only available to tenants that are subscribed to the Helipass Passenger Mobile App.

Worksite Users - Muster Point and Lifeboat Notes Now Included On Exports
Worksite users managing Muster Point and Lifeboat assignments can now see the specific notes entered for the emergency station directly on the Abandon Station and Muster Point exports.

What's New?

  • Notes entered in the Asset Configuration modal are now displayed at the bottom of the printouts.
  • These notes are clearly marked with a leading "***" and shown in red text for easy visibility.
  • Ideal for capturing emergency radio frequencies, safety instructions, or other critical information.

This enhancement ensures that important emergency details are surfaced where they matter most—on the documents used in real-time response scenarios.

Bug Fixes

Worksite Users - Estimated Departure Date Accuracy Restored on Worksite Page
An issue affecting the Estimated Departure Date field on the Worksite Page has been resolved. This field, which is automatically populated when a passenger has a linked reservation or departing trip, was not updating correctly in certain scenarios.

What Was Happening?

  • When users edited a passenger's POB assignments before removing them from a trip/linked request and pushing it to a future date, the system was still calculating off the original Estimated Departure Date.
  • This led to inaccurate reporting and confusion, as passengers appeared to be departing on incorrect days.

What Was Fixed?

  • The system now correctly updates the Estimated Departure Date to reflect the most current reservation.
  • Users will no longer see mismatched or outdated departure dates affecting their reports and status calculations on the Worksite page.

This fix ensures accurate forecasting, bunk status tracking, and reporting for all Worksite users.

Schedule View Users - Unregistered Passenger Events Now Require Name and Company to be Saved
A recent issue in the Schedule View page allowed users to add unregistered passenger events without entering a name, description, or company. While this did not affect the event itself, it caused problems when managing related Requests, especially when trying to delete or update them.

What Was Happening?

  • Events using Unregistered Passengers could be saved without all required fields being added.
  • Requests reservations tied to their incomplete entries put the system in a bad state and could not be properly managed or deleted.

What Was Fixed?

  • Users can no longer add unregistered passenger events unless all required fields are filled out.
  • Ensures smoother request handling and prevents data inconsistencies.

This fix improves data integrity and makes managing passenger schedules more reliable for all tenants.

Manifest Users - Manifest Printout Update: Removal of Decimal Points for Whole Numbers
Helipass has refined the weight display formatting on the Manifest printouts to improve clarity and precision for flight planning.

What Was Happening?

  • Manifest Printouts were displaying all manifested item weights with 2-decimal points.
  • Even if the items weight was a whole number, or only needed 1-decimal point due to rounding, they were being displayed with 2-decimal points.

What Was Fixed?

  • Weights still show up to two decimal places—but only when needed.
  • Whole numbers like 205 will appear without a decimal, while values like 205.5 or 205.75 will show the appropriate precision.
  • This update applies to passenger, baggage, cargo, and other weight entries used in flight planning tools.

This enhancement to remove the unnecessary trailing decimals was driven by user feedback and ensures that manifest data is both accurate and easy to interpret.

HPA Users - Manifest Ready Checkbox No Longer Being Unchecked When Edit Modal is Saved
A critical issue affecting the Heliport Automation (HPA) workflow has been resolved. The “Manifest Ready” checkbox, which signals that a manifest is finalized and ready for departure processing, was being unintentionally cleared when users reopened the Edit modal and saved changes—especially when updating a trip’s status to “Departed.”

What Was Happening?

  • Users marked the manifest as ready.
  • Upon editing and saving the trip, the checkbox was unselected without notice.
  • This caused the FIDS board to incorrectly show the flight as not ready—even if it had already departed.

What Was Fixed?

  • The “Manifest Ready” checkbox now remains selected when the Edit modal is saved unless manually changed by the user.

This fix helps ensures a smooth and accurate launch process at the Service Port can continue without any confusion or disruptions, leading to clear communication and operational consistency.

Helipass Users - Passport Scanning Issue Resolved for Passport Numbers Smaller than 9-Digits
A scanning issue at the Service Port kiosks has been resolved, improving the check-in experience for passengers having Passport ID Numbers with less than 9-digits.

What Was Happening?

  • Passports with only 8 alphanumeric characters were causing scan failures.
  • The system was mistakenly pulling in extra characters (like commas or symbols), preventing a match with the Passenger's Profile.

What Was Fixed?

  • Scanners now correctly identify and match 8-digit passport numbers by ignoring non-alphanumeric characters.
  • Passengers with shorter Passport IDs can now be successfully scanned and matched to their profiles without disruption.

This fix ensures a smoother and more reliable check-in process, especially for international travelers with varying passport formats.

Cargo Approval Users - Re-Approval Now Required After Edits Made to the Cargo Item
A key update has been made to the Cargo Approval process to ensure better oversight and communication between requesters and approvers.

What Was Happening?

  • Cargo items were being approved.
  • Users could still edit approved cargo without triggering a new approval.
  • This created a gap where changes were not being reviewed by the assigned approver.

What Was Fixed?

  • Now, any edits to approved cargo will require the item to be re-approved.
  • This ensures that approvers are always aware of and can validate changes before the cargo continues its reservation journey.

This update strengthens cargo management integrity and ensures that all transported items meet approval standards throughout the process.

Worksite Users - Arrival Preset Displays Passengers Correctly After Times are Adjusted to UTC
A bug affecting the Arrival Preset section on the Worksite page has been resolved. The issue was causing passengers to appear on multiple days when their Request and Trip reservation times spanned different days after converting to UTC time.

What Was Happening?

  • Passengers with reservations that converted across two days in UTC were showing up in the Arrival Preset for both days, even though their local reservation times were on the same day.
  • This led to confusion and inaccurate data for users managing arrivals.

What Was Fixed?

  • The system now correctly aligns passenger appearances in the Arrival Preset with the tenant’s local time zone, especially for those on the + side of UTC.
  • Users will see accurate, single-day entries that reflect the true reservation timing.

This fix ensures cleaner databetter arrival tracking, and less confusion for Worksite users operating in international time zones.

Job Title Users - Job Title History Now Maintained for Past POB Reservations
With the release of the Job Title feature, tenants gained the ability to assign specific job titles to passengers via their Passenger Profile, which then appear on the POB List and POB Reports. However, it was discovered that these job titles were not maintaining historical accuracy—instead, they were displaying the passenger’s current job title, even for past trips.

What Was Happening?

  • Job titles were being overwritten with the most recent value, regardless of what was assigned at the time of travel.
  • This led to inconsistencies in reporting and made it difficult to track historical roles accurately.

What Was Fixed?

  • The system now preserves the job title as it was at the time of the reservation, ensuring historical integrity.
  • POB Lists and Reports will now reflect the correct job title for each passenger based on their travel date.

This fix ensures accurate historical records, which are essential for compliance, reporting, and operational clarity.
