00:00: This tutorial guides you through building out reoccurring crew events on the

00:03: Schedule View page for configured crews.

00:06: In the tutorial, you will learn how to schedule events on the schedule

00:09: for crews, set their shift schedules, as well as set the repeating events for the crew

00:14: movements.

00:16: Building out these scheduled crew events will allow quick and effective management

00:20: of populating events on the schedule.

00:22: After crews have been created for the location,

00:24: those crews can have their events put onto the schedule.

00:28: To create the crew events, select the Create Crew Event option under the Action

00:33: dropdown on the Schedule View page.

00:36: When the Create Crew Event modal opens, you will need to fill out the details for

00:40: the crew events you are about to create.

00:42: First, you will need to select the specific crew

00:45: you wish to add from the Crew dropdown list.

00:48: Once selected, the crew members, and their configured positions, will appear on the

00:52: right side of the modal.

00:53: Enter in the Label, which is similar to the Schedule Number that was entered on the

00:57: crew configuration.If

01:00: the label that describes the crew rotation is not listed, type it into the field and

01:05: hit enter on your keyboard.

01:07: The Project and Activity are automatically pulled from the configured crew, but it is

01:12: good practice to double check that they are still applicable to the crew.

01:17: If the Project or Activity fields are not automatically populated, you can make the

01:22: selections at this time.

01:24: Next, you will need to select the specific dates of the crews first event that is

01:28: to be scheduled.

01:29: Do this by entering the Arrival Date and Departure Date in their respective fields.

01:34: You will also need to setup the shifts for the crew by

01:36: selecting the blue Add Shift button on the right side of the modal. At least one shift

01:41: type is needed, however, crews that do mid-hitch swaps from nights to days, for example,

01:45: can be configured by selected the Add Shift button again and selecting the appropriate

01:50: dates for the beginning and end of each shift. Do note that if any of the

01:55: crew details, shift schedules, or repeating reoccurrence is different for different members

01:59: of the crew, those crew

02:00: members can be unchecked before saving, and those details updated for the remaining crew

02:06: members before saving again.

02:09: To quickly build out repeating events for the crew over the planning horizon,

02:12: check off the Repeat Events button

02:14: at the bottom of the modal.

02:15: Once the box is checked off, options to configure the repeating schedule and end date

02:21: of the reoccurrence will appear.

02:23: First, enter in the number of days that the crew has off in between their time on

02:27: site.

02:28: For instance, a crew that works a 14 and 14 schedule should have their arrival and

02:33: departure dates set 14 days apart and have the event repeated

02:36: every 14 days.

02:38: If the crew is 28 and 14, the arrival and departure dates should be set 28 days

02:43: apart and have the event repeated

02:45: every 14 days. Enter in the date that you wish the repeating events to stop.

02:50: This could be a year or more into the future, or it can be a specific planned date that

02:55: crews swap schedules.

02:57: In the event that the crew events being added need to overwrite events that already

03:01: exist on the schedule for that crew,

03:03: check the box for Crew Schedule Change to have the new events being added delete the

03:08: existing events and reservations.

03:11: Once all information for the crew events has been entered, select the Save button to

03:15: populate them on the schedule.

03:18: Do note that if any of the crew details, shift schedules, or repeating reoccurrence

03:22: is different for members of the crew, those crew members can be unchecked before

03:26: saving.

03:27: The steps can be repeated for the remainig crew members with the edits to those

03:31: details being done before

03:32: saving

03:33: again. An example of this would be if half the crews are scheduled to work days

03:37: while the other half are scheduled to work nights.

03:41: Now that the new crew events have been added to the schedule, you will see them

03:45: appear on the gantt for the dates and reoccurrence schedule that was set on the initial

03:49: build

03:49: out. These events can now be managed on the gantt

03:52: itself if and when changes occur.

03:56: You have successfully created and scheduled multiple crew events with specific

03:59: shifts and recurring settings in the worksite management system.

Enter in the date that you wish the repeating events to stop. This could be a year or more into the future, or it can be a specific planned date that crews swap schedules.
