Personnel Planning and the Reservation Life Cycle

Overview: Helipass has been focused on updating the Work Site Area of the website to create a place for POB Planners to quickly and more efficiently track the personnel and cargo items arriving and departing their facilities. The goal of these improvements is to create a single place that the POB Planner can live in by providing more than enough tools and features right on the page.

The new improvements that have been added to the page will allow each location in the system to configure their living quarters, lifeboats, muster points, ICS Roles (and the muster point and lifeboat assignments that the ICS Role drives), and positions. These additional fields will allow the POB Planner to assign and track those assignment fields for passengers as needed.

On top of numerous new assignment fields, POB Planners will now be able to give passengers that are scheduled to arrive in the future their preset assignments. These Arrival Preset Assignments can be given to passengers well in advance to when they are set to arrive at the location. When the Trip Movement is applied, the passenger will be moved from the Arrivals list to the On Board Personnel section with the preset assignments that were given. The passengers on a locations POB list can also be added to a request directly from the Work Site page without ever leaving.

In addition to these new features, users will also see changes to the User Interface (UI) on the Work Site page, have the ability to hide or show columns, as well as having numerous new reports right at their fingertips.

POB Planners who configure and use the system to its full advantage will be able to streamline many of the work processes that were once time consuming or not available in the website before.

Available Assignment Fields for POB Passengers

One of the largest changes to the Work Site Area is the introduction of nearly a dozen new assignment fields that can be allocated out to passengers on board. The Long-Term Planning Project has brought about the need of capturing things like Day and Night Muster Points and Lifeboats (Primary and Secondary), ICS Roles, and Positions.

The additional fields that have been added will appear as new available columns on the POB list that can be edited in-line on the passenger's tile. If you want to see all assignment information for a passenger at the same time, you can select the "Edit Personnel On Board" icon (the pencil), to view all of the assignments for an individual passenger.

To view a passenger's POB Profile, you can simply right click on the passenger's tile in the POB list and select the pencil icon that will appear. If the POB list page is scrolled all the way to the right, you will also see the pencil icon to edit that passenger's POB Profile and assignments given.

Understanding the Reservation Life Cycle for Personnel On Board

There are 3 main parts to a passenger's POB Reservation Life Cycle in the eyes of the POB Planner:

  • Create reservations for scheduled arrivals and departures passengers by adding them to a request or trip manifest
  • Assign future arriving passengers their preset assignments in the new "Arrival Presets" area of the POB page
  • Arriving and departing trips to your facility can be easily applied, updating your POB and COB list quickly as they happen

This breaks down to creating a reservation for arriving and departing passengers, giving those arriving passengers their preset assignments prior to their arrival, and applying passengers and cargo items from trip movements to the locations POB/COB as they happen.

Creating Reservations from the Work Site Area

Planning, scheduling, and tracking a locations personnel can be a difficult task, especially when managing large assets. You need to see who and what is going to be on the platform at any given time so you can ensure operations run smooth. This tooling now gives you access to the passenger's reservation on your location as far out as you want to plan it.

The easiest way to create a POB reservation for an arriving and departing personnel on your facility is by building a request via the left side bar. Passengers who will be arriving at your facility can be added in the request itself while departing personnel already on your POB list can be quickly checked and added to an existing request.

To create a new request, select the "+ New" button under the Request tile on the left side bar. Doing this will cause the POB List on the right to enter into the Request Component view. After naming and scheduling the date of the request, you can add personnel and cargo items that will be arriving at your location. You can also return to this request component view in the future to manage the requested items, weigh and check-in passengers and cargo items, and print the request.

When you are done working in the Request, or you are ready to quickly add passengers on your facility already to the request you just created, hit the "Close" button.

To quickly add passengers and cargo items that are on your location to the request you have built, you must first locate the request in the left side bar. Selecting a date range can be done by hitting the Live button at the top of the Work Site area and selecting a range that includes the date of the desired request.

Once you have located the desired request, filter and search your POB and COB list to check off all the passengers and cargo items you wish to add to the request. After selecting the departing passenger or cargo items, hit the "+ Add" button on the request tile.

A pop-up a modal will appear to allow you to fill out the passenger's request info like their origin and destination, reservation type, and cost code will appear. These things can be applied to passengers by checking off one or more passengers at a time. As passengers are selected and added, they will be removed from the list on the left.

After passengers and cargo items are added through the popup modal, you can manage the request by selecting the pop-out button on the request tile.

By creating request with the departing passenger reservations coming directly from the passenger on board, you will see a departing reservation eyeball next to the departure column. This indicates that the passenger has a departing reservation from the facility. As the trip movement gets scheduled in Helipass, the requested passengers and cargo items can be quickly added to the manifest on the Trip's page via the Request tile on the left side bar.

When a reservation is created from a POB passenger, the Estimated Departure Date field will be populated and grayed out. To manage this planned reservation, click on the reservation eyeball to the right of the field to quickly jump to the trip or request the passenger is on.

Managing Arrivals and Preset Assignments for Personnel

Planning the passenger movements for a facility can be difficult task. For locations with a high POB count, assignment planning for arriving passengers is usually done prior to the passenger actually arriving at the location. The early planning allows gaps or bust in the POB assignments to be identified and addressed before they surface.

Helipass now provides tooling for its POB Planners to give preset assignments to arriving passengers which will be applied to the POB list when the movement is applied. Not only will you be able to give preset assignments, Helipass will help speed things up by displaying the last known values that can be confirmed or edited as their presets on the arrival.

Setting an Estimate Departure Date for arriving passengers can assist in correct forecasted passenger counts and assignments. The system will use the Estimate Departure Date to predict when the passenger will be leaving the facility. If that departure date for the passenger changes, adjust the date in the field to maintain an accurate planning horizon.

After selecting the Live button, you can set the date to see a list of all passengers who scheduled to be arriving at the facility. Passenger assignments will initially be blank with the exception of any default assignments saved to a passengers POB profile.

Assignments can be given manually to each arriving passenger as needed with it auto saving the presets as you go. If you wish to use the passengers last known assignments that were applied when they last were on the facility, check off the passenger(s) names and hit the "Reset to Last Knowns" button below.

The icon to the left of the arriving passenger's name will give the POB Planner an idea of what part of the planning process that passenger's arrival reservation is in.

To set default assignments for POB passengers, you can do it 3 different ways:

  1. Clicking the icon with 3 lines all the way to the right of the arriving passenger
  2. Hitting the Edit Defaults button at the top right of the page and searching for the passenger
  3. Selecting "Edit Defaults" from within the POB passengers POB Profile

This icon has four different states that give insight into how much planning is remaining for arriving passenger:

  1. Calendar icon with three blue lines - the passenger has an arriving reservation and their preset assignments given
  2. Calendar icon with no lines - the passenger has an arriving reservation but no preset assignments have been given
  3. Three blue lines with no calendar icon - the passenger has their preset assignments given but their is no reservation for the passenger's movement (passenger's receive a reservation when placed on a request or manifest for a location)
  4. Calendar icon with yellow exclamation mark - the passenger has an arriving reservation but their saved presets are from a previous reservation and the Arrival Date doesn't match the date of the reservation

By scrolling all the way to the right of the Arrival Preset section, you will notice a few different icons, depending on the state of that arriving passenger's presets, that appear next to an arriving passengers name. These different icons can be used to confirm the last known values as the passenger's presets, erase and restore the last known preset values, or delete passengers who no longer have a reservation that they are arriving on.

When the Arrival Preset has the yellow exclamation point icon present, you should:

  • To keep the existing saved presets, simply update the passenger(s) arrival date field to match the date of the reservation.
  • To erase the old presets and start over, simply delete the assignments and the passenger's arrival date will automatically update to match the reservation date.
  1. Eraser Icon - will appear when presets have been saved to the arriving passenger. By clicking the eraser, any of the preset assignments that have been given to the passenger will revert back to their defaulted presets (values from their last known trip)
  2. Wand Icon - can be selected to save the preset assignments that were given by default to confirm that those are the presets you wish to use.
  3. Trashcan Icon - will only appear for those passengers who are arriving without a reservation. Since passenger's with a trashcan do not have a reservation in the system, deleting them will remove them from your Arrivals Presets list.
  4. Delete Selected Presets - You may also check the boxes to left of the desired passengers and select the "Delete Selected Presets" button to erase all the saved presets. This will change all of the presets for the selected passengers back to their original preset default values.

Don't forget to take advantage of the other tools placed on the Work Site Area to help you find what you are looking for on your POB List!

Search Bar - The Search Bar located at the top can be used to search the POB list for information that can be found on the page. Narrowing down your list to a certain company, room, lifeboat, etc., can help make managing your personnel movements much quicker.

Filters - The filter button located to the right of the search bar gives different filters that can be used to narrow down the POB list.

Hide/Show Columns - This new icon to the right of the page allows each user to configure which columns they wish to have displayed on the screen when they are managing their POB. The column choices can then be saved as defaults so the page loads that way every time it is opened by that user.

Applying Trip Movements

Applying trip movements that arrive and depart your facility has not changes much with these recent POB updates. This process of applying those arriving and departing passengers is just as easy as ever, but now when you apply the movement, the preset assignments that were allocated to that reservation is also applied to the POB list with them.

When looking at the Live view of the POB area, you will see all trips that are going to that facility that day which have not already been applied. Select the "View" buttons next to the passengers and cargo summaries on the trip tile. This will pop open a window that displays all arriving and departing passengers or cargo, and the ability to apply them as needed.

As they are applied to the POB, the items will be removed from the list. Once all items have been applied, the trip movement will no longer be displayed in the left side bar.
