Managing Transfers Between Associated Assets
Passengers that are sleeping on one POB facility are not always doing their work on that facility. Often times other locations, such as flotels, are brought in as an associated asset to help manage the POB loads required for a facility to complete projects. These flotels are generally where these workers sleep, however, they transfer daily to perform their jobs on the other facility.
The Helipass Worksite area is able to accommodate these types of transfers to help keep accurate tracking of the POB for both facilities. This guide will provide insight on how to manage the POB passengers that need to be managed by these daily transfers.
Setting up Associated Assets
Before you are able to transfer a passenger from one location to another, they will need to be associated through the Asset Configuration Modal.
Under the Location Association tab, locations can be scheduled for the time period they can be associated. During the scheduled time frame, passengers on the POB for both locations will be able to select the other as that passenger's current location.
Before and after the scheduled association occurs, passengers will not be able to be transferred from one to the other. It is only during the scheduled window that is will be an available option to select under the passenger's assignments. If the dates of the schedule need to be shifted earlier or later, hit the pencil icon to change the date.
When an scheduled association is ending, be sure the passenger's are assigned to the proper Current Location so they remain on the proper location's POB. If the schedule's end time has passed but the location is still on site, adjust the scheduled end date to continue transferring passengers.
Specific permissions are need to create Location Associations to ensure proper scheduling. If you do not have the ability to make changes to location associations, get with your admin to have it scheduled for you.
Transferring POB Passengers from POB
Passengers that are added to a facilities POB from a trip list will have the "Current Location" defaulted to (none). When the location has an active association, those locations will be available in the dropdown menu. If there are no active associations, the current location will not give any other options to select from.
To transfer a passenger from one location to another, select the appropriate destination under the "Current Location" dropdown menu. Once selected, that passenger will then popup on the selected facilities POB.
If this is the first transfer for the passenger's hitch, or if the other location does not have them currently on their POB list, the transferred passenger will populate in the Arrival Preset section for assignments to be given before being applied to the POB by the other facility.
The passenger will remain on both location's POB list and can be quickly transferred back and forth via the Current Location field. Assignments for the passenger will be retained even when they are on the other location.
If you wish to remove the transferred passenger from your POB after the transfer is done, set the departure date and time of the transfer. If a location departs the passenger, they will popup in the Arrival Preset section the next time they transfer back to the facility.
Benefits of not departing transferred passengers:
- They will remain on the facilities POB list for quick and easy transferring back
- The passenger's assignments, such as room, bunk, and ICS Roles, will remain and accounted for in POB exports
- Helps keep the POB up to date in the event the associated location is not tracking POB in Helipass
- Visibility into where all interested passengers are, even when not on board
Benefits of departing transferred passengers:
- They will be removed from the facilities POB list
- The passenger's assignments will stop being accounted for in POB exports
- Upon their next arrival to the facility, they will popup in the Arrival Preset section for new, updated assignments to be given
To transfer multiple passengers at the same time, click the checkbox to all of their names and select "Edit Selected POB" at the bottom of the POB list.
A window will popup where the Current Location and/or Departure Date can be selected and applied.
If you want to retain the passengers on your POB but still show them as transferred to the other, select the Current Location but do not apply a Departure Date.
Do not delete passengers from your POB unless they were added to your location by accident. Deleting will remove the entire record for that passengers trip.
If the passenger was on your facility but has departed, select the appropriate date and time of that departure to remove them properly and keep the historical records in tact.
Applying Transferred Passengers to POB
For the first time a passenger is transferred to a location, or if they were departed and are not currently on the facilities POB list, they will popup in the Arrival Preset section. This allows the POB user to give updated assignments to those transfers before they are added to the POB area.
Passengers can be added individually from the Arrival Preset section via the "+" button to the far right of their row.
To mass add multiple passengers from the Arrival Preset section to your POB list, select the checkbox next to each of their names and hit the "Add Selected to POB" at the bottom of the Arrival Preset section.
