Tracking Lifeboat Training for Worksite Passengers
Overview
Worksite locations can have different training that passengers on their facility must keep current when they are visiting. Some examples of this are Orientation and Lifeboat Training, which must be completed and tracked to insure compliance by all passengers. Helipass has built out various features that can be used to track Lifeboat Training requirements for individuals on each individual Worksite that tracks POB.
This guide will walk readers through the step-by-step process to setting Lifeboat Training Competencies, as well as the reports that can be used to identify those passengers requiring training.
Do note that some steps in this guide require advanced levels of permissions to be completed. Please reach out to your tenant admin to complete the setup if you wish to enforce Lifeboat Training requirements on your facility.
Adding Lifeboat Training to the Global Position Competency List
The 1st step to tracking any position competency requirements requires the Position Competency to the Global Position Competency List. This global list of positions can be found on the Worksite List page. Here, users can manage the list of position competencies that can then be associated with the specific ICS Roles and Positions at specific Worksite locations.
To add the Lifeboat Training Position Competency to the system, go to the Worksite List page and select the "Position Competency" button at the top right of the page.
Once clicked, the Position Competency modal will appear. This modal allows users to manage existing Position Competencies, as well as add new ones to the system.
To add a new Position Competency to the list, begin typing in the name into the "Search Name" box at the top of the modal. As you type, the list of Position Competencies will begin filtering down the list to ensure a duplicate is not being created.
For the purpose of tracking Lifeboat Training, and most other Position Competencies that are location specific, be sure to include the Worksite location in the Position Competency name.
Once the information has been entered, hit the "Add" button to add it to the Global Position Competency list.
Associating Position Competency with ICS Roles
Now that the Position Competency for the location's Lifeboat Training is entered, it needs to be associated with the Worksite's ICS Roles in the Asset Configuration modal. To do this, open up the Asset Configuration modal by selecting the gear icon at the top right corner of the Worksite page.
Once opened, navigate to the ICS Roles tab and hit the pencil icon to edit the ICS Role.
From the edit window, open the Competencies drop-down list and select the Lifeboat Training for that Worksite location before hitting Save.
Repeat this step for every ICS Role that is configured for the Worksite, ultimately making the competency required for any ICS Role assigned to a passenger.
Tracking Lifeboat Training Dates for Individual Passengers
When passengers arrive at the facility and complete the annual Lifeboat Training, the system will need to be updated. To show that a passenger has successfully completed the training, navigate to the "Position Competency" tab in their Personnel Profile.
From this tab, select the "Add" button to enter in a new competency.
First, located the specific Lifeboat Training for your location. Then enter in the Issue and Expiration Dates before hitting "Save".
Managing and Maintaining Lifeboat Training Compliance
Now the the Position Competency has been added to the ICS Roles and passenger profiles, you can start to track passengers who will be requiring Lifeboat Training through various reports and status indicators around the site.
When giving passenger's their ICS Role assignments in the Worksite page, the Compliance Statuses for each ICS Role will show up red if they require training for their trip. If the passenger has successfully completed the Lifeboat Training, the statuses will show up as green unless the ICS Role require multiple competencies that the passenger does not currently have.
To include the Lifeboat Training competency information for the passenger on the Arrival Sheet and Arrival List reports, check off the locations Lifeboat Training competency to be included when downloading.
The Lifeboat Training competency, as well as other competencies that are also relevant to your location, can be included on the Future POB Assignment custom report.
