Configuration of ICS Roles (Incident Command Structure)

Overview: Helipass is making improvements to the functionality presented on the Work Site page (formally called the POB page). With these improvements, users will be able to configure many aspects of their location such as Living Quarters, Lifeboats, Muster Points, ICS Roles, Positions, and Projects.

The key benefit to having the location configured for these assignment options is the ability to automate the assignments passengers receive when they arrive on the location. With the new Asset Configuration piece in place, you will be able to associate specific lifeboats to their muster points and vice versa. This will allow you to have a filtered list when giving passengers these assignments so only relevant options are available.

The ICS Role configuration will be a huge driver in the automated assignments for passengers if done right. For every ICS Role that is created, the specific day and night lifeboat assignments can be set. When a passenger is assigned a specific ICS Role, the muster points and lifeboats that are assigned to that role will automatically be given as assignments for that passenger. If those assignments need to be changed from the ICS Role assignments, they can be manually changed for the passenger when given the assignments.

This, along with associating muster points and lifeboats with each other, will allow assignments to basically set themselves!

Configuring ICS Roles

With the right permissions set on your profile, you will see the new Manage Asset configuration button on the top right of the Work Site area for a location. This icon is shaped like a gear and, when selected, will open up the Asset Configuration popup window.

To begin configuring the ICS Roles for a location, select the ICS Roles tab. Once on the ICS Roles tab, select the "+Add" button on the top right to create a new ICS Role.

When creating a new ICS Role, you will be able to select:

  • a unique ICS Role name
  • a symbol or abbreviation to be used (list is sorted alphabetically based off of the symbols field)
  • minimum and maximum personnel that can be assigned the ICS Role at any given time
  • daytime primary and secondary muster points
  • nighttime primary and secondary muster points
  • daytime primary and secondary lifeboats
  • nighttime primary and secondary lifeboats
  • if that ICS Role is the commander of the assigned lifeboat

After all of the ICS Role information is entered, hit the save button. Do this same process for all of the ICS Roles on your location.

For non-responding personnel, it is beneficial to create an ICS Role specifically for them. These non-responder ICS Roles can be configured to make assigning muster points and lifeboats for those personnel much quicker and automated, as well as being able to track the number of personnel that are being assigned to each muster point and lifeboat associated with that ICS Role.

Lifeboats and muster points need to be configured before they are able to be associated with an ICS Role. Lifeboats and muster points that are set as primary will show up under the day and night primary drop-downs while those not set as primaries will show up under the secondary drop-downs.

It would likely be beneficial to create all of the lifeboats and muster points prior to creating the ICS Roles. If the lifeboats and muster points are already created, then the associations of them to the ICS Roles will be much quicker.

Hitting save or close will take you back to the ICS Roles overview tab in the Asset Configuration modal.

Here you can review all ICS Roles that have been created as they will appear in alphabetical order based on the symbol data point. To view more of their details, click the arrow on the top right corner of the tile to collapse the tile.

To edit an ICS Role that already exist in the list, simply hit the pencil icon on the top right corner of the tile. It will redirect the popup to the edit ICS Role view for the changes to be made before hitting the "Save" button. To delete the ICS Role, follow the same steps but hit delete instead.
