NOTICE: Important Changes to Work Site Area (POB)

Overview: Here at Helipass we have been making updates and improvements across the Work Site Area where POB Planners work to manage their asset. These changes will make the POB page a more robust product for creating reservations for passengers, giving preset assignments to those future arriving passengers, as well as tracking and reporting on the personnel staying on the location.

Many of these changes are subtle and will not have an impact on the current workflows being used while other workflows are being introduced for those users looking to get out in front of planning in the system. Small and subtle or not, the changes being introduced to the Helipass Work Site Area is going to increase the value to those that use it.

Asset Configuration of a POB Location

Helipass's recent Long-Term Planning initiative has brought about numerous new assignment fields that did not exist in the system before. Now, passenger assignments consist of their living quarters, lifeboat and muster points, ICS Roles, positions, and more. To give a passenger an assignment, the assignment option needs to appear in the configured list for that location; free text entry for new items is no longer supported.

To configure your assets living quarters, lifeboats, muster points, ICS Roles (and the associated muster points and lifeboats with it), and positions, you will need to hit the gear wheel icon at the top right of the POB page. This will open up the "Manage Asset" window.

It is within this window that you create the configuration of these assignment options that is unique to your location. How things are configured here will play a part into correctly and quickly populating the options the can be selected for a passenger's assignments.

New Show/Hide Columns from POB List View

With the introduction of over a dozen new assignment fields, the need for a Show/Hide Column menu became apparent.

POB Planners can customize their POB list view by showing only the columns that the care about and hiding the others. There is also a "Save As Defaults" button that can be used have the page always load to these defaulted column selections. As needed, you can show or hide columns at any time to find the information that you are looking for.

Arrival Presets - Assigning Passenger Assignments Early

Helipass has taken early planning of passenger movements a step further with the introduction of Preset Assignments for arriving personnel. Now, passengers that have a reservation to arrive at your location will appear in the new Arrival Preset section of the Work Site area. Here they can be given their assignments prior to their arrival at the facility.

Using the Arrival Preset section to do advance planning for the arriving passenger assignments will make Applying Trip Movements quick and easy.

Within the new Arrival Preset section, you will be able to see a list of all passengers who will be arriving within the date range you have selected on the page. Shifting your date range into the future will allow you to view and set assignments for those future arrivals.

Paying attention to the calendar icon to the left of the passenger's name will assist in identifying what planning stage the arriving reservation is in.

This Assignment Calendar icon has four different states:

  1. Calendar icon with three blue lines - the passenger has an arriving reservation and their preset assignments given
  2. Calendar icon with no lines - the passenger has an arriving reservation but no preset assignments have been given
  3. Three blue lines with no calendar icon - the passenger has their preset assignments given but their is no reservation for the passenger's movement (passenger's receive a reservation when placed on a request or manifest for a location)
  4. Calendar icon with yellow exclamation mark - the passenger has an arriving reservation but their saved presets are from a previous date and the Arrival Date doesn't match the date of the reservation

Confirming preset assignments, editing of the preset assignments, replacing assignments back to defaults, or deleting presets for passengers no longer coming, can all by done with the new icons found on the right of the passengers on the Arrival Preset List.

This icon has three different states that give insight into how much planning is remaining for arriving passenger:

  1. Eraser - will appear when presets have been saved to the arriving passenger. By clicking the eraser, any of the preset assignments that have been given to the passenger will revert back to their defaulted presets (values from their last known trip)
  2. Wand - can be selected to save the preset assignments that were given by default to confirm that those are the presets you wish to use.
  3. Trashcan - will only appear for those passengers who are arriving without a reservation. Since passenger's with a trashcan do not have a reservation in the system, deleting them will remove them from your Arrivals Presets list.
  4. Delete Selected Presets - You may also check the boxes to left of the desired passengers and select the "Delete Selected Presets" button to erase all the saved presets. This will change all of the presets for the selected passengers back to their original preset default values.

Robust Reporting - Enhanced POB Reporting Capabilities

The introduction of the new assignment fields, as well as the ability to give preset assignments for passengers, has broadened the needs for good reports and exports. With the Long-Term Planning project, POB Planners will have access to numerous reports, both on the Work Site page, as well as some in the Custom Reporting page.

Reports Available in the Work Site Area:

  • POB Report - The existing POB Report has been updated to include the new assignment columns recently added to the Work Site Area
  • Lifeboat Report - PDF Export to be posted at the lifeboat station which breaks out all lifeboats with the assigned passengers
  • Muster Point Report - PDF Export to be posted at the muster point station which breaks out all muster points with the assigned passengers
  • Arrivals List - PDF Export that provides a list of all passengers arriving that day, broken out by trip
  • Departures List - PDF Export that provides a list of all passengers departing that day, broken out by trip
  • Arrivals Sheets  - PDF Export that provides arriving passengers all of their allocated assignments, as well as important information and notices of that location

Reports Available on the Custom Report page:

  • Automated POB Export - This report allows the user to select the desired date range for the locations arrivals and departures and have each day in the range break out into a separate sheet identifying the arriving and departing passengers for the day, as well as the POB passengers who will remain on the location
    • Consider building this report and setting up a reoccurring email schedule so you can get daily emails of the scheduled POB Forecast that can be used in the event that the location loses network connectivity
  • End Of Day Muster & Lifeboat Counts - This export provides the reader with the total passenger EOD (End Of Day) counts for the various muster points and lifeboats on the location
  • *Occupancy Report - Export that provides a breakdown of all the occupied rooms and bunks as well as those passengers arriving and departing on a given day
  • *Vacation/Training Schedule Report - Passengers who have recently been to a location and have scheduled VacTrain events in their Personnel Profile will appear in this report to assist the POB Planner with planning personnel movements
  • *Forecasted POB Outlook (by Company, Position, or Project) - This report will provide the viewer with a breakdown of the number of passengers that are scheduled to be on board based on their company or position

*Indicates reports that are currently planned for the next phase of the project and do not appear in the website today
