Managing Preset Assignments for Arriving Passengers on POB
Overview: Helipass has made some improvements to the Work Site Area of the website. Users who manage the POB and COB for an asset will now be able to provide incoming passengers their assignments before the trip movement is even applied to the location's POB list. By planning the assignments prior to the passengers arriving, users will be able to
Passengers arriving at a location for the date selected will appear in the new "Arrival Presets" section on the Worksite page. By default, passenger's will have their assignment fields blank unless they have defaults set and saved on their POB profile for the facility. Setting defaults for your core crews and other personnel that have known default assignments will help improve speed and forecasting abilities.
Viewing Arriving Passengers
Understanding Arrival Presets
On the Work Site page, you will see a new, collapsible section called Arrival Presets. By default, the Arrival Presets section will be collapsed to save room on the page.
By clicking the down arrow on the right side of the Arrival Presets tile, all of the arriving passenger reservations for the current date will be displayed. Changing the date range at the top of the Work Site page will display any passenger scheduled to arrive for the given time frame.
Once expanded, selecting the arrow again will collapse and hide the section once again.
Status of Arriving Passenger's Presets
To the left of the passenger's name you will see a new icon which represents where the passenger is regarding their planned preset assignments. Understanding the various states of this icon will help you identify the level of planning you are at regarding your arriving passengers. Paying attention to this icon will allow you to spot any passengers that still need their assignments set or their profile to be placed on to an incoming reservation.
This icon has three different states that give insight into how much planning is remaining for arriving passenger:
- Calendar icon with three blue lines - the passenger has an arriving reservation and their preset assignments given
- Calendar icon with no lines - the passenger has an arriving reservation but no preset assignments have been given
- Three blue lines with no calendar icon - the passenger has their preset assignments given but their is no reservation for the passenger's movement (passenger's receive a reservation when placed on a request or manifest for a location)
- Calendar icon with yellow exclamation mark - the passenger has an arriving reservation but their saved presets are from a previous reservation and the Arrival Date doesn't match the date of the reservation
When the Arrival Preset has the yellow exclamation point icon present, you should:
- To keep the existing saved presets, simply update the passenger(s) arrival date field to match the date of the reservation.
- To erase the old presets and start over, simply delete the assignments and the passenger's arrival date will automatically update to match the reservation date.
Saving, Erasing, and Deleting Preset Assignments
When working within the context of your arriving passengers, you are able to do a few different actions. By scrolling all the way to the right of the Arrival Preset section, you will notice a few different icons depending on the state of that arriving passenger's presets. These different icons can help
- Eraser - will appear when presets have been saved to the arriving passenger. By clicking the eraser, any of the preset assignments that have been given to the passenger will revert back to their defaulted presets (values from their last known trip)
- Wand - can be selected to save the preset assignments that were given by default to confirm that those are the presets you wish to use.
- Trashcan - will only appear for those passengers who are arriving without a reservation. Since passenger's with a trashcan do not have a reservation in the system, deleting them will remove them from your Arrivals Presets list.
- Delete Selected Presets - You may also check the boxes to left of the desired passengers and select the "Delete Selected Presets" button to erase all the saved presets. This will change all of the presets for the selected passengers back to their original preset default values.
Assigning Defaults for POB
Passengers who are registered in the system can have default assignments associated with their reservation anytime they arrive at that location. Setting defaults will help assist with those passengers who are on constantly coming to the facility with consistent assignments given.
To set the defaults for an individual, you can locate him via the "Edit Defaults" button on the Worksite page and search for them. Any changes made in the "Edit POB Default" modal and saved will populate those next time the passengers reservation is added in the Worksite area. Any fields in the modal that are left blank will appear blank on future visits so the POB Planner can update it then.
If you are on a filtered date where the passenger is arriving or on board, you can get to the "Edit POB Default" modal for that passenger. When the passenger is in the Arrival Preset section, you can select the default icon on their row to open their default modal. If you have updated the preset assignments for an arriving passenger(s), you can update the passenger(s) defaults by checking the box next to their name and hit "Save As Defaults" at the bottom of the section.
When a passenger is already on the facility's POB list, their defaults can be updated via their "Edit Personnel On Board" modal. Between the passenger's picture and name, their is a link that pops open the "Edit POB Defaults" so they can be updated.
Resetting Last Knowns
Passengers arriving to a POB location have the option to reset their assignments to be the same as they were the last time they were on the POB List. Assigning passengers their Last Known assignments can be done in the Arrival Preset area for any passenger with a reservation set for the current day in the future.
Selecting the "Reset to Last Knowns" button will cause the selected passengers will all return to the last known values, thus overriding any defaults or assignments currently set.
It is best to select multiple passengers at a time when resetting to last knowns. Every time the "Reset to Last Knowns" button is clicked, the Arrival Preset window will close and refresh.
Consider saving the select passengers default assignments when in the Arrival Preset area. This can assist with faster planning the next time the passengers arrive on board.
Hide/Show Columns
A new tool has been added to the Work Site Area to help you filter out the information that you do not want to see on the page. This column filter will consolidate both the Arrival Presets section, as well as the Personnel On Board section below it.
By clicking on the Display Column icon on the top right of the page, you will be able to hide or show the columns that are most interesting to you. Once you have hidden the columns that you do not wish to display, consider hitting the "Save as Defaults" button so every time you land on the page only these columns will populate.
