Work Site Locations- Managing Cargo On Board

Helipass is making improvements to the existing Personnel On Board module to bring new feature that give better tracking and quicker manifesting of their cargo coming and going from their location.

Users with access to the Personnel On Board (POB) module will now see two separate tabs when in their locations POB page that they can toggle between. The POB tab will remain unchanged from today's functionality, however, there will be a new Cargo On Board (COB) tab under each Work Site location. This COB tab will allow those users who manage that work site to accept manifested cargo and containers onto their location.

Keep your eyes out for future updates to the Work Site management area, including the ability to create request for passengers and cargo items directly from your POB and COB pages!

Managing a work sites cargo is a separate, independent, function from managing personnel. You can still manage your locations POB list without interacting with the new COB page.

Talk to your company's Helipass Admin if managing cargo for your location is right for you!

Accessing the COB Page

To navigate to your locations COB page, select "Work Site List" under the Site Management menu option.

From the Work Site List landing page, find the location that you wish to work within and select "Manage". This will automatically bring you to that locations POB tab view. As you can see in the picture below, your locations POB and COB pages can be accessed by toggling between their respective tabs.

Managing Cargo On Board

There is two ways to manage your work site's cargo on board; the easiest of which is by using the Apply Movement functionality on the left hand side of the screen. With the introduction of the COB page, you will now see a tile added below the Personnel option for Cargo.

Clicking the cargo tile will display all inbound trips to your location for the day that have arriving or departing cargo items. This will function much like the way applying personnel movements works today.

Once you see the Cargo Movement trips displayed, click "View" on the trip you wish to apply the cargo to your location. The Confirm Cargo Movement window with the inbound and outbound cargo will be displayed.

If you are a Marine Manifesting customer, cargo items may be nested within containers on the trip. The default view only shows containers and non-nested cargo items.

To view the cargo items that are nested within a container, you can either select the "Show/Hide Nested Cargo" icon above the cargo list that will expand/collapse all containers that have nested cargo, or by hitting the arrow to the right of the container with the nested cargo.

Within the Confirm Cargo Movement window, select the containers and cargo items (grouped or individual items) that you wish to add to your locations COB list.

Set the date and time that those items arrived and departed your work site and hit "Apply" to make the changes on your COB list.

If you apply a container with its nested cargo, those items will remain nested on the COB list. When cargo items are added to your COB list, but not the container that they were nested in, those item will show up on the COB list as non-nested cargo and the container will not be added to the COB list.

The other way to manage a locations cargo on board is by manually adding cargo and container items.

This can be done by selecting the "+ Add" button at the top right of the page, filling out the proper information about the cargo or container, and adding it to your COB list.

While most of your containers and cargo will be managed through applying trip movements in Helipass, other items may come through a non-Helipass movement or potentially created on the platform and needs to be manifested back in.

Selecting the "Add Container" button will allow you to select from a list of containers that have already been created in the Helipass system. Be cautious of creating new containers and make sure you have permission to do so before creating one.

If you do not see a container in the container list, please contact your Helipass admin or dispatcher prior to creating new containers in the system.

Containers are permanent entities in the system that must be managed closely for proper tracking and mitigation of duplicates being created.

The user interface for displaying nested cargo in containers on the COB list is the same as you will see on the Trip's manifest, on the Request modal, as well as the Confirm Cargo Movements window.

Selecting the "Show/Hide Nested Cargo" icon and the arrow to the right of the container will show and hide the cargo that is nested within it.
