Checking In Requested Cargo

Manifest Users - Cargo that is added on a request can now be looked up and checked in

Managing cargo through Helipass just got more efficient with the introduction of the Cargo Request Lookup feature. Previously, cargo items added to requests or manifests were managed separately from those "checked in" through the website or Cargo Kiosk. This new feature bridges the gap, allowing users to look up requested cargo items and seamlessly check them in.

How to Use the Cargo Request Lookup Feature:

1. Add Cargo to a Request: Ensure that the cargo item(s) are added to a request within the Helipass system.

2. Obtain the Cargo's Reservation ID: Each requested cargo item will now display a unique Reservation ID for looking up and tracking.

Consider adding the Reservation ID to the name of your requested cargo.

By including the Reservation ID in the name, it will help service port personnel and all users/workers who may need to refer back to the ID to check the item in, and even after the item is checked-in, can easily do so.

3. Use the Reservation ID for Check-In:

Cargo Kiosk Check In - Tap the "Search Request" button on the Cargo Kiosk and enter the Reservation ID to check in a requested piece of cargo.

Web Cargo Check-In - After hitting the "+ Cargo Check In" button on the Cargo Check In Page, select the "Look Up" button inside the modal.

From there you can search for the requested cargo item by using its Reservation ID, description, or the request's deliver by date. Once the proper piece of cargo has been found, select the "Add" button to complete the check-in.

4. Add to Manifest: Once checked in, the cargo can be added directly to the Trip Manifest by selecting the "+Add" button on the checked in cargo tile.

This enhancement ensures that requested cargo items are accurately tracked and efficiently checked in, streamlining operations and improving cargo management workflows.

Cargo Reservation Types

Manifest Users - New Cargo Reservation Type field added to tracked cargo

Helipass has introduced a new field to enhance cargo management within the system: the Cargo Reservation Type. This addition provides tenants with a new way to apply a more structured and meaningful way to identify, track, and prioritize cargo items. This new field is designed to improve visibility and efficiency in handling cargo reservations, ensuring that the most critical items receive the appropriate focus during their journey.

Each tenant that wish to use this new field for their cargo can work with the Helipass team to customize the options that appear for you. In the instance you wish to use the Cargo Reservation Type to imply priority, menu options like Urgent, Critical, and Discretionary could be used. For example, perishable items might be set as Urgent, tools that are needed immediately set as Critical, and normal supplies set as Discretionary.

These Urgent and Critical indicators can help allow these high-priority items to be managed and transported with greater attention. In contrast, less urgent cargo items can be set as Discretionary indicating it would be fine to send it out at the earliest convenience.

Worksite Users - "Sort By Lifeboat Tag" now checked off by default for locations tracking tags

Worksite locations that manage and track Lifeboat Tags for passengers now benefit from an updated default setting that ensures greater efficiency and preparedness. Previously, the Sort By Lifeboat Tag option on the Muster Point and Lifeboat reports required Worksite users to manually enable the setting each time before downloading the reports.

With this enhancement, the Sort By Lifeboat Tag option is now checked by default for Lifeboat Tag-enabled locations. Whenever users open the Print Worksheet or Print Workbook modals, the setting will already be enabled, ensuring that downloaded reports are pre-sorted by Lifeboat Tag number.

This improvement prevents accidental omissions of sorting before downloading, which could lead to disorganized reports. By ensuring that the reports are sorted correctly by default, Worksite teams can remain confident that during emergency drills or real evacuations, the reports will be accurate and easy to use. This change supports the critical need for precise and organized information in high-stress situations.

Manifest Users - New Travel Request Form and workflow introduced to assist ground transportation management

Helipass has introduced a new feature allowing passengers to request travel directly within the system. Passengers can now access and complete a Travel Request Form (TRF), providing necessary details about themselves and their travel needs. Once submitted, system users responsible for managing travel arrangements will be able to review and fulfill these requests, while also generating reports on both upcoming and historical travel needs.

This new feature was designed with ground transportation management in mind, aiming to streamline travel arrangements for passengers and their families, especially when working in foreign countries. While the TRF feature is in its early stages, Helipass is committed to refining and enhancing it with future updates to ensure an even smoother user experience.

The Travel Request Form and workflow is still in its early stages and he not been officially rolled out as an available feature to all customers.

Worksite Users - Arrival List, Departure List, and Future POB Assignment reports only displaying the Primary Day Lifeboat Tag assignments for passengers

Helipass has introduced a feature enhancement aimed at simplifying Lifeboat Tag (LBT) assignments and reducing redundancy in associated reports. On the Worksite page, users have the option to assign up to four tags to passengers: Day/Night Primary and Day/Night Alternate Lifeboat Tags. However, feedback from Worksites highlighted that many facilities only need to assign a single tag, making the process of filling out all four tags both time-consuming and unnecessary.

To address this, Helipass has streamlined the display of lifeboat tags in several reports. Updates to the Muster Point, Abandon Station, and POB Reports were previously released, reducing the displayed tags to only the Primary Day Lifeboat Tag or other assigned tags if entered. Now, these adjustments have been extended to the Arrival List, Departure List, and Future POB Assignment Reports.

Worksite users tracking Lifeboat Tags can now focus on assigning just the Primary Day Lifeboat Tag, significantly reducing the time required for Lifeboat Tag management while also optimizing the layout of these reports. These enhancements ensure greater efficiency while maintaining the accuracy and functionality needed for emergency evacuations.

Bug Fixes

Worksite Users - Hide/Show Lifeboat Tag columns can now be individually selected and saved as the default view

Worksite locations utilizing Lifeboat Tags can now take full advantage of the Hide/Show Columns feature, thanks to a recent bug fix. Previously, users experienced two major issues:

  1. All-or-Nothing Column Selection: Users were unable to uncheck individual Lifeboat Tag column options—either all columns were displayed, or none.
  2. Inability to Hide Columns by Default: Lifeboat Tag columns could not be hidden based on user-defined default settings.

With this update, users can now:

  • Select one or more Lifeboat Tag columns to hide or display.
  • Save their preferred column visibility settings as defaults.

Looking Ahead:

This enhancement paves the way for a more streamlined Lifeboat Tag management experience. Helipass is working towards a goal where Worksite users only need to assign a passenger’s Day Primary Lifeboat Tag if the remaining tags (Night, Secondary, etc.) match the Day Primary tag. By allowing unnecessary columns to be hidden and saved by default, users can focus on assigning lifeboat tags quickly and efficiently without unnecessary clutter on the interface.

Worksite Users - Muster Point and Abandon Sheets in the Distribution List not sorting by Alternate Lifeboat Tag assignments

A sorting issue affecting passengers with Alternate Lifeboat Tags on the Muster Point and Abandon Station Sheets in the Distribution List download has been resolved. Previously, passengers with assigned Alternate Lifeboat Tags were incorrectly sorted by their names instead of their assigned Alternate Tag numbers.

With this update:

  • Passengers are now sorted correctly by their assigned Alternate Lifeboat Tag numbers in the exported reports.

Upcoming Enhancements:

In the coming weeks, further updates will ensure that these reports sort and display passengers by their Primary Day Lifeboat Tags when no Alternate Lifeboat Tag is assigned. This improvement will provide even more clarity and consistency in lifeboat tag management, especially during critical moments.

Worksite Users - Lifeboat Tags assigned to future arriving passengers not showing up in the Future POB Assignment report

A bug was identified in the Future POB Assignment custom report where arriving passengers with assigned Lifeboat Tags were not populating in the Lifeboat Tag column. This omission created gaps in the report, making it challenging for users to accurately forecast tag assignments or identify passengers still requiring a tag.

With this fix:

  • Lifeboat Tag assignments for arriving passengers will now display correctly in the report.
  • Users can reliably forecast and manage tag assignments, ensuring accurate preparation and streamlined operations.

This update enhances reporting clarity and reinforces efficient lifeboat tag management for future passenger assignments.

Worksite Users - Passenger's lifeboat assignments automatically being deleted if the respective Lifeboat Tag was removed

An issue was identified on the Worksite page where removing a passenger’s Lifeboat Tag assignment inadvertently deleted their corresponding Lifeboat assignment as well. This created workflow inefficiencies, as users had to manually reassign the passenger’s lifeboat assignment after making changes to their tag.

With this fix:

  • Removing a passenger’s Lifeboat Tag assignment will no longer affect their Lifeboat assignment.
  • Users can now update Lifeboat Tag information without the risk of disrupting lifeboat assignments, ensuring POB accuracy and saving valuable time.

This update simplifies the tag management process while maintaining seamless lifeboat assignments for passengers.

It has been reported that the issue with lifeboat assignments being deleted with a passenger's Lifeboat Tag is still occurring in the Arrival Presets area.

Please continue to be vigilant when managing Lifeboat Tag assignments for future arriving passengers until this issue is addressed.

Worksite Users - Orientation date being added automatically to passengers manually added to the POB List

A bug was identified where passengers manually added to the POB were automatically assigned an Orientation Date timestamped with the current date. This caused issues for users utilizing the new Orientation management feature, as passengers could be inaccurately flagged as having completed orientation, potentially leading to future reporting errors.

With this fix, passengers added manually to the POB will now have their Orientation Date remain blank unless a Worksite user intentionally enters a date after adding them. This ensures that passengers requiring orientation on future trips will be properly flagged in the Arrival Sheets and Arrival List reports, maintaining accurate tracking for compliance and safety.
