How-To: Enter/edit passenger weights and details for their reservation

Overview: Passenger and cargo reservation both have a life cycle as they work their way through the planning and execution phases in the system. When an item (passenger or cargo item) is added to a request, this marks the beginning stages of the planning cycle. As the item is added to a trip manifest, and as the time of the planned trip approaches, users will be more and more restricted on where and how edits can be made.

Users who manage the reservations for items coming to and from their location will be interested in managing the weights, cost codes, reservation types, passenger swaps, etc. Depending on where the item is in the reservation life cycle, the user may need to go to the manifest page itself to make edits. If the trip time is past the restricted time window set by the tenant admin, they may not be able to make edits at all.

This users guide will look to walk you through making edits to items with reservations at each point of the reservation life cycle. Do note that not all Helipass tenants enforce the same settings and user permissions. This could result in a different work flow from user to user based on these factors set forth by the tenant admin of your specific system.

Each tenant has varying user permissions and system settings and you may or may not be able to do certain functions described above based on those settings. The system may restrict users from editing manifested items X hours prior to the trips departure time, the items origin or destination, as well as not allowing certain users to make changes to the manifest at all.

Managing Requested Items (Not Manifested)

Adding Passengers and Cargo Items to a Request

Adding passengers to a request can be done in 3 different places in the system:
1. Adding items directly to a request
2. Adding passengers to a request from the POB List
3. Adding passengers to a request from a crew

Managing Reservation Details for Requested Items

Once passenger or cargo items have been added to a request, users are able to go into the request to manage the reservation details for those items. There are a couple of different ways to do this depending on what information is needing to be added or edited.

For editing a passenger or cargo items details like origin, destination, company, and weights on an individual bases, the row item itself can be selected to open up the drop-down menu for making the change. This option could work well if there is only one or two small changes that are needed to be made for their reservation.

If multiple reservation details need to be changed for a passenger, or if the cost code or reservation type need to be edited, select the pencil and paper icon on the right of their row to open up their request detail modal. Once all edits are made, select the Save button to close the modal and go back to the request.

Updating Weights for Requested Items

Outside of editing passenger and cargo items weights one by one, there is a more efficient way to mass update their weights via the "Weigh In" button.

Offshore coordinators are likely to capture weights for all of the inbound passengers and cargo items departing their facility and come into the system to update them all at once. The quickest way to do this while managing the request is by selecting the "Weigh In" button at the top right of the page to open up a modal with all the passenger and cargo items listed.

Within this list, users are able to press the tab key on their keyboard to quickly go from cell to cell to enter in the weights of each item in the list.

Once the passenger's reservation is placed on a trip manifest, all of the edits and changes to that passenger's reservation must be done on the trip manifest that their reservation has been placed on.

Managing Manifested Items

Adding Passengers and Cargo Items to a Manifest

Adding items to a manifest can be done in 2 different ways; adding the passenger or cargo item from the request tile, or manually adding it to the trip.

Adding items to a request prior to adding them to the trip is the recommended method as it keeps track of items that may have been bumped off a trip but still need to travel. Items added directly to a trip and then deleted from the trip do not go back into the request tile the same way requested items do.

Managing Reservation Details for Manifested Items

Once passenger or cargo items have been added to a trip manifest, users will be unable to edit the reservation details from the request page. Rather than making edits on the request, users must go to the manifest that the requested items have been added on to make any changes. Forcing users to make changes to the reservation details on the manifest ensures that the changes are made appropriately with the execution phase of the life cycle in mind.

Editing reservation details for items already added to a manifested trip is similar to the way they are edited on a request, however, there are a few more robust features available to users. Just like the request page, users can choose to edit the reservation details for an item by clicking each of the fields one by one. However, the manifest page allows users to make mass edits when multiple passengers are selected.

To do a mass edit, users can click on the checkbox on the left of each item they wish and select the "Edit" button at the top of the page. This will open up a window with the various fields that can be edited with any changes made being applied to each item that is selected.

The "Edit" button will be grayed out until at least one item on the manifest is checked. Only items that are checked off will be affected by the edits made.

Updating Weights for Manifested Items

Outside of editing passenger and cargo items weights one by one, users can also utilize the "Weigh In" button on the manifest page. The only difference between the way the "Weigh In" feature works on the manifest page versus the request page is that each passenger that you wish to include in the Weigh In popup modal needs to be checked off prior to opening the window.

The "Weigh In" button will be grayed out until at least one item on the manifest is checked. Only items that are checked off will appear in the list for their weights to be entered.

While users can check off each passenger one by one, many times you will want to select all of the inbound items to update the weights together. To quickly select all of the inbound items, click on the drop-down menu next to the desired trip leg.

Inside the drop-down menu, select the "On Items" option to select all of the items that are getting on the manifest at that location. Selecting the "Off Items" would select the checkbox for all items that are arriving at that location and getting off the manifest.

After selecting the items that need to have their weights entered, scroll back up to the top of the page and select "Weigh In." This will open up the weigh in modal with only the items that were selected.

Once the weights are entered and you hit save, you will be prompted if you wish to mark those items that have been update as "Checked In" for the trip. Selecting "Yes" will automatically mark those passengers as checked in for their trip.

After a passenger has been indicated as "Checked In", the status would need to be changed back to "Reserved" before any additional edits can be made. This is to prevent any information that may already be being used for flight planning to be edited without notifying the proper personnel that changes need to be made.
