Managing First Time Flyers
Overview: Helipass has historically offered customers the ability to have new passenger's that have never traveled in their system flagged as First Time Flyers (FTF) on their printed manifest. This feature was very limited and did not give tenants much control over who was considered a FTF, or when they should no longer be considered a FTF.
Now, Helipass has released some feature enhancements revolving around the First Time Flyer designation. These enhancements introduce greater flexibility, accuracy, and control in how First Time Flyers are identified and managed. Alongside these changes, updates have also been made to the printed boarding passes, the Trip Plan page, and the Personnel Profiles for passengers to assist in managing FTFs.
Notable changes:
- Tenants can set how many trips are required by a passenger to not be considered a FTF
- Only rotor wing trips are counted towards the completed trip count
- Trips that have not been marked as departed or completed will not count towards a passengers trip count
- Tenants can require a manual review of passengers to remove the FTF flag vs. automatic
- New symbols to represent FTFs and FTFs that need evaluation will appear on the boarding pass and Trip Plan page
Turning on First Time Flyer Flag
To turn on the First Time Flyer feature, navigate to the Advanced Settings page and enable the "Flag passengers as being first time flyers on manifest and manifest printouts" setting. After turning this setting on, you will want to indicate how many rotor wing trips a passenger must complete before they would no longer be considered a First Time Flyer.
When this feature is turned on, passengers marked as First Time Flyers will:
- have a "1" appear on their boarding pass
- have a "1" appear on the Trip Plan page next to their name
- display a "Y" on the FTF column that appears on the printed manifest
Note: All tenants that had the legacy First Time Flyer setting turned on will be defaulted to 1 required trip needed by passengers to satisfy the FTF requirements. The other settings for requiring evaluations will not be turned on unless the tenant admin chooses to implement that new process change.
Requiring First Time Flyer Evaluations
Tenants that want to more closely manage when passengers should no longer be considered First Time Flyers can require evaluations. When requiring evaluations, passengers will still be considered FTFs until their profiles are manually updated to indicate otherwise.
To require evaluations, select the checkbox for "Require First Time Flyer Evaluations". After selecting the setting to require evaluations, another setting to "Show Alerts for First TimeFlyer Evaluations" will appear. Checking this setting will cause the system to populate a warning banner on the manifest to indicate there is a passenger needing evaluation.
When this feature is turned on, FTF passengers who have completed the required number of trips will:
- have a "1*" appear on their boarding pass
- have a "1*" appear on the Trip Plan page next to their name
- display a "E" on the FTF column that appears on the printed manifest
- display a banner warning for the evaluation required on the Trip Plan page and printed manifest (if alert setting is enabled)
Managing First Time Flyer Designation
For tenants that are using the First Time Flyer feature, they will now see a new section for First Time Flyer designation under the Miscellaneous tab of the Personnel Profile for passengers. The new area will indicate to the viewer how many rotor wing trips have been completed versus how many are required. Alongside that, users with the proper permissions can manually mark a passenger as being a First Time Flyer or not, indicate whether a passenger requires evaluation (if enabled), and leave notes regarding the FTF status.
If the tenant does not have the "Requires Evaluation" setting enabled, passengers will automatically switch from "Yes - First Time Flyer" to "No - Experienced" after completing the required number of rotor wing trips.
If the passenger needs to be evaluated upon their next trip, the user can check the "Requires Evaluation" box to surface the "1*" on the passengers boarding pass, Trip Plan page, and printed manifest.
At any time, passengers can be manually marked as being a First Time Flyer or not by updating the status and hitting save.
Note: If the tenant has the Require Evaluation setting enabled, all passenger's will be marked as requiring evaluation until their profiles have been updated to yield a Yes or No for First Time Flyer status. Tenants that do not have the Require Evaluation checked will only see Yes or No statuses and not see the evaluation required flags.
