Container Management Overview
Users who will be working in the Helipass Marine environment will have the ability to use containers when interacting with cargo. These containers will allow large scale cargo, such as Swire basket's for supplies and Tiger Totes for Jet Fuel, to be added onto a manifest.
With the introduction of containers, users will be able to "Nest" cargo items within it for easy to read and understand Loading Plans for loading the transport vessel. These containers can be placed on the manifest, filled with checked-in cargo, and then be properly identified on reports. Containers created in the system only need to be created once. After that, the container item will remain available for adding onto future trips.
Creating Containers
To create a new container from the Container Management page, click on the Container Management link under the Asset tab.
To add a new container to the system, select the Add Container button on the right side the page. This will prompt a popup window where you can fill out the information specific to that container. These include:
- Name: This field is where you enter the name of the container. Something along the lines of "8x20 Swire Basket" or "500 Gal Tiger Tote".
- Equipment ID: The Equipment ID should be used to identify the specific container by the labeling that is displayed on the item itself. ID's could look similar to "SW-1133" or "TT A57".
- Type: This field of the container would describe the overall type of container it is deemed like "8x20 Basket" or "10ct Bottle Rack".
- Vendor: The Vendor field should consider who the containers owner is, not the contracting job receiving the shipment or the company doing the shipping.
- Description: The field can be used to give any further details that pertain to that container.
Once you have given all the appropriate answers, hit the Save button to create the container in Helipass.
There are two main ways to create containers in Helipass; from the Container Management page and manually adding a container to a trip from the Plan page.
It would be a benefit to follow some sort of company naming standards for Equipment ID's and other fields for proper identification practices.
When hitting the Edit button on tile for the container on the Container Management page, as well as manually adding a new container to a trip, a similar popup window will be displayed.
Nesting Cargo
Nesting is a new feature that comes with containers. You will be able to place containers on a trip manifest and add in all the cargo items that are within it. This information can be used to provide the crane operator and other personnel Load Plans for them to understand the lifts and cost involved with each manifested item.
To add a container to a manifest, hit the button labeled "+Container" on the left hand panel. This will popup a window to either add a container that already exist in the system, or create a brand new one.
Within the popup window, you will be able to assign a Cost Code, proper Origin & Destination, the company who is shipping the goods, whom is it addressed to, and total weight at lift of the container with all nested cargo inside.
Once you are complete setting up your container, hit the Add button to add it on the trip.
Weight for containers can be ignored while the manifest is being built. These weights may not be known until after the crane makes a successful lift of the container and all of its contents, in which the weights can be entered after.
Nesting cargo inside of a container can be done before and after you add a piece of cargo to a trip. The first way is by assigning the container to the cargo item when manually adding a piece of cargo to the manifest.
First, click on the "+Cargo" button to the right of the "+Containers" button.
Fill out all the fields that are available for entry under then more robust cargo entry. One of these new fields is labeled Container and it allows you to nest it within a piece of cargo that is on the trip already.
The Number Of Packages field, the Quantity Per Package, and the Hazmat identification fields can be used to better identify hazardous items that need to be identified as such on the Bill of Lading.
For example, a shipping crate that is holding 5 bottles of propane within it should be labeled as seen below. As you can see, the crate has been nested within the appropriate container for the trip before adding it to the trip.
Once all information is entered, hit the Save button at the bottom of the window.
If you are adding lots of similar items to a trip, be sure to check out the "Retain Fields" flag on the bottom of the add/edit cargo and container window.
Another way to assign a piece of cargo to a container is directly on the new container flag on the line item on the Plan page. This 4 square figure will be highlighted yellow if the piece of cargo is nested within a container. If the symbol is gray it means that it is not nested within a container.
The other new button for cargo is the info icon. If this button is clicked, the complete cargo profile opens up for the particular item.
Sometimes cargo will be added to a manifest as checked in cargo before the container has been identified. The container can be added to the trip once know and all cargo nested inside can be mass edited and placed within the container.
Transferring of containers and nested cargo from one trip to another is also available.
Creating Motor Vessel Trip
Customers who have the Marine Manifesting capabilities will see changes to their Edit/Actual dialog box when they select Motor Vessel as the Transport Type. When Motor Vessel is selected as the Transport Type, you will see additional fields automatically populate under the Trip Information section of the Edit tab.
Load Out Date: Represents the date the vessel was loaded
Clearance Start Date: Beginning date of approved clearance for trip
Clearance End Date: Ending date of approved clearance for trip
Purchase Order Number: Specific purchase order can be entered to show the proper purchase order responsible for the trip
Clearance Number: Unique clearance number provided for the approved trip
Loading Plan & Bill of Lading
Two new reports are available for trips labeled as Motor Vessel in the Transport Mode of the Edit/Actuals popup. The first is the Loading Plan, which is useful to the logistics team when loading the boat. The other is the Bill of Lading, which provides proper identification of all hazardous material on the trip.
These reports can be located under the Action drop down button for each individual trip and will download to your browser.
Be sure to update the weights of all containers and non-nested cargo prior to departing each location. New and accurate manifest should be provided to captain for the trip when the boat is loaded.
