How-To: Enter Flight Actuals
Overview: Flight Actuals entry is used to drive the report of flight utilization, based on payload and seating capacity.
- On the main Helipass website click the "Manifest" option at the top of the page
- Within the drop down menu select the "Manifests" option
- Locate the flight you wish to edit and "Actuals" button to open the Edit Trip Actuals window or select "Edit/Actuals" from the trip's Action tab.
If flights from a different day are needed please utilize the "Trip Dates" filter near the search box
- Verify the flight name is correct
- Verify the leg order is correct, and that all legs are accounted for
- To re-order legs, select the arrow in the direction needed for the correct route order
- To Add a location, select the blue + to add a leg below the current leg.
- Select the needed location and click the +Add button.
- To Remove a leg, select the delete button (trashcan).
- If a passenger is tied to the leg needing to be removed, it cannot be deleted until he/she is removed from that manifest.
- Click "Save" at the top or bottom of the window.
7. Click "Actuals" on the top of the menu
- Click the topmost box labeled "Actual Departure Time" to update the departure of the flight.
- If this time differs from the time originally set, you will be shown a popup asking if you would like to adjust the legs of the flight by the same time.
- Select the time of departure for the flight's origin.
If the flight is more than 15 minutes delayed a delay reason will be required
Please note if a line item on the manifest is missing a cost code, a warning will be displayed here to help prevent issues with reporting
- From here you may begin entering the leg departure, fuel, and arrival times
- Tabbing through the fields will allow you to manually key in the time, the system will add formatting as needed, and will skip date fields.
Data Validation Suggestions Below
On each leg, you will see "Actual Payload" under the fuel weight, This weight will show used payload (shown as "0" above), and calculated available payload (shown as "9100" above). If any of the A/C information if off, it will impact the available payload, we highly encourage a quick check here to ensure the values appear correct.
Leg and Total Flight times are shown between each leg and at the end of the leg list.
We recommend quickly validating that the flight time calculated matches the flight time flown
