Open Trip Types - Visualizing Schedule Availability

Overview
With a small update by the development team, your tenant will have the ability to create Open Trip Types. These Open trip types can be used to indicate blocks of time that you wish other users to see that a Callsign has available time that can be scheduled if needed. Open trips can be used as a place holder on the schedule until a trip is required and route has been determined.

For tenants that are utilizing the Open Trip Types, they can set the Trip Type status as "Open" when manually building a trip or when creating a reoccurring schedule. Trip Types labeled as "Open" will have their trip tiles on the Trip Page Gantt Views turn green to help draw attention to that available schedule time. In the instance that you want to indicate reoccurring Open schedule time via the Scheduling page, those virtual trips will appear in a light green  on the gantt view until created.

Creating Open Trips

The new Open Trip Type is located under the Trip Information in the Edit popup modal for a trip. This Trip Type can be set to Open as long as it is available for other sharing opportunities, or until you wish to remove the Open scheduled trip from your schedule. There are 3 ways to create the how long the trip will be on the gantt display:

  1. Go into the Edit/Actuals module for the trip, set a simple route such as HMA to HMA, and then manually set the estimated times for departure and return
  2. Create a new location in the system with coordinates that are a specific distance away when the trip times calculation is done
  3. Create a trip route with actual locations that the Open trip is dedicated too

The 1st can be done for any trips that have already been created in the system and show up on the Trips page, however, it is not an option for virtual trips that have not been created yet. The 2nd option will allow specific blocks of time that you wish to have displayed for manually created trips as well as any reoccurring scheduled trip without a route set.

1. Edit/Actuals Route

Open the Edit popup window for a trip that has been created. Place the Service Port that will likely be the Origin and Destination of the Open trip. Edit the times to indicate the desired tile size for users so they can understand the size of the available window.

Without setting the departure and arrival times for you simple service port to service port route, you will see a small tile that only spans 15 minutes. The image below might highlight the different in how trips look without the times manually overridden or the Open locations created.

2. Creating A New Open Location

If interested in automatically displaying time appropriate tile sizes for Reoccurring Scheduled Open Trips, admin with permissions can go in the Locations area of the website and create new locations that are specific distances away from the service ports coordinates that would then calculate the correct tile length.

Locations can be created for different sets of time required and be used when creating the route so that trip length is correct.

In the example below, the location 3HR OPEN was created in the system with specific coordinates that roughly put that trip tile  as a 3 hour journey.

If you are looking to create an Open location for a 3 hour trip length on a S-92 (155 mph set for S-92 callsign) from the Houma base, you can use the following coordinates to get you an approximate 3 hour trip length:

  • 26 25' 30" by -90 48' 37"

If you are looking to create an Open location for a 4 hour trip length on a S-92 (155 mph set for S-92 callsign) from the Houma base, you can use the following coordinates to get you an approximate 4 hour trip length:

  • 25 23' 28" by -90 48' 37"

Any combination of coordinates can be used to create the length of time desired.

Keep in mind, these calculations are based on the Average Speed of the callsign, and the coordinates of all locations on the trip route. So you may need to update information in a couple of spots for it to be calculated as desired.

3. Create Open Trips with Actual Routes

Trips that you may want to indicate as an Open trip type but know the route options available to locations can still be created.

Simply create the reoccurring scheduled trip, or manually created trip, and use the locations that have 1st choice on if the trip gets scheduled or not. This can help create a realistic trip tile length as well as improve the filtering for the locations that are on the route. Once a trip has been decided that it will be officially scheduled, the Trip Type status should be updated to show the proper Trip Type.

Trips can even be created with the Open Trip Type still in place. This can allow other locations to see that potential sharing opportunities are still open for that trip.
