Working with Cost Codes

Cost codes allow operators to allocate their costs appropriately.  It's important that cost codes are kept up-to-date to ensure accurate financial allocations.

To reach the Cost Code management page:

  1. On the main Helipass website click the "Finance" option at the top of the page
  2. Within the drop down menu select the "Cost Codes" option

The Cost Codes page shows all of an operator's configured cost codes.  Note that most operators have a large number of cost codes in the system.  The search box allows you to search for a particular cost code using the code itself, or its description.

To Edit a Cost Code

To edit a cost code, click its "Edit" button.  The cost code edit dialog will appear on the right-hand side of the page.  Here, you can enter the cost code's information:

  1. Cost Code - the actual cost code
    1. Once created, it cannot be modified
  2. Category - this is an optional field operators can use to organize cost codes.
    1. Below the Category field you can use the "new" button to add a category, or "Edit" to change the name of the currently-selected category.
  3. Location
    1. Optionally, a cost code can be associated with a particular location.
  4. Description - a description of the cost code

Once you've finished editing the cost code's information, click the "save" button at the bottom of the dialog.  Click "cancel" to cancel your changes.

If a location is not selected the cost code page will provide an error

Adding a New Cost Code

To add a new cost code, click the "Add Cost Code" button (below).  This will bring up a blank cost code dialog on the right-hand side of the screen.  Use the same process as editing a cost code (above) to enter all the needed information, then click "Save" to save the new cost code.

"Cost Code", "Category", and "Description" fields will be used during a search from a cost code box.

Cost Code Favorites

Because many operators have a large number of cost codes, HeliPass allows users to create "favorite" cost codes.  Cost code favorites appear at the top of any cost code selection box.  

Cost code favorites are selected in your user profile.  To reach your user profile, click your user icon in the upper right-hand corner of the screen and choose "View Profile":

At the bottom of this screen is a list of available cost codes.  To select a cost code as a favorite, click the star to its left to highlight it yellow.  Use the search bar at the top of the dialog to search through large lists of cost codes.
