How-To: Add a new Invoice

Overview: In order to allocate costs Invoices will need to be added once received, in this guide we will review how to properly add an invoice into the finance module

  1. On the main Helipass website click the "Financial" option at the top of the page
  2. Within the drop down menu select the "Financial Module" option
  3. Once inside the Financial Module select "Finance" option at the top of the page
  4. Within the drop down menu select the "Invoice List" option
  1. To create a new Invoice select the green "Add" button (Highlighted Below)
  1. This will birng up the "Invoice" box (Shown Below)
  1. In the "Invoice Type" drop down menu, select the invoice template you would like to use
  2. In the "Invoice Number" box type out the invoice number
  3. In the "Allocation Month" drop down menu, select the month you would like to allocate this invoice to
  4. In the "Allocation Year" drop down menu, select the year you would like to allocate this invoice to
  5. In the "Provider" dropdown menu, select the provider associated with the invoice

If the Provider is not listed in the drop down please review "How-To: Add a new provider" training

  1. In the "Invoice Status" drop down menu, select the current status of the invoice
    1. Open, and Approved are available by default
  2. If the invoice is for a Helicopter, please select the callsign in the "Callsign" box that will appear
  3. In the "Invoice Date" box, use the date picker to select the invoice date
  4. In the "Notes" field enter any notes necessary for the invoice
  5. At the bottom of the popup you will see the custom line items we added when we created our Property Configuration

  1. Please match the line items in the popup with the line items on the invoice and key in the value direclty
    1. Numerical values only, the website will mangage formatting
  2. Once all line items are entered, please verify the total at the bottom matches the anticipated value
  3. Once all items have been verified as correct
  4. Select "Save and Attach" and select the invoice being added to upload the file for storage and to save the invoice
  5. Select "Close" once finished to close the module
