How-To: Add a new Invoice
Overview: In order to allocate costs Invoices will need to be added once received, in this guide we will review how to properly add an invoice into the finance module
- On the main Helipass website click the "Financial" option at the top of the page
- Within the drop down menu select the "Financial Module" option
- Once inside the Financial Module select "Finance" option at the top of the page
- Within the drop down menu select the "Invoice List" option
- To create a new Invoice select the green "Add" button (Highlighted Below)
- This will birng up the "Invoice" box (Shown Below)
- In the "Invoice Type" drop down menu, select the invoice template you would like to use
- In the "Invoice Number" box type out the invoice number
- In the "Allocation Month" drop down menu, select the month you would like to allocate this invoice to
- In the "Allocation Year" drop down menu, select the year you would like to allocate this invoice to
- In the "Provider" dropdown menu, select the provider associated with the invoice
If the Provider is not listed in the drop down please review "How-To: Add a new provider" training
- In the "Invoice Status" drop down menu, select the current status of the invoice
- Open, and Approved are available by default
- If the invoice is for a Helicopter, please select the callsign in the "Callsign" box that will appear
- In the "Invoice Date" box, use the date picker to select the invoice date
- In the "Notes" field enter any notes necessary for the invoice
- At the bottom of the popup you will see the custom line items we added when we created our Property Configuration

- Please match the line items in the popup with the line items on the invoice and key in the value direclty
- Numerical values only, the website will mangage formatting
- Once all line items are entered, please verify the total at the bottom matches the anticipated value
- Once all items have been verified as correct
- Select "Save and Attach" and select the invoice being added to upload the file for storage and to save the invoice
- Select "Close" once finished to close the module
