How-To: Set User Permissions
Overview: Each Helipass customer tenant has designated administrators who are responsible for granting and managing the proper access in the system to all of its users. This user guide provides a step-by-step guide for how to manage access for new and existing user profiles, as well as managing Focal Point user accounts.
Managing Access for New User Profiles
Helipass tenants are able to identify system administrators who have the ability to manage the user and their permissions in their website.
Users that have the "User Page" permissions will receive emails anytime a new user attempts to register in their system. This email provides a bit of information pertaining to the permission request and allows the recipient to log into the website to grant proper access.
Users with the User Page permission can click the "Administration" menu at the top of the page and select "Users" to navigate to the Users Page.
Upon landing on the Users Page, you will be able to search the system by typing in the user's name, username, or email address in the search bar.
Once you find the name of the user you wish to manage permissions for, select the "Edit" button on the right side of their tile.
When the Edit button is selected, the right half of the page will update to allow the high level profile information for the user to be managed.
Newly registered users will first need to be assigned one of two User Types before any other permissions can be assigned.
Helipass - Assigning a user the Helipass user type allows you to select any arrangement of User Group permissions that are in the system. Helipass users are normally those users who conduct their work duties in the site for that tenant, rely on reporting and data from the system, and much more.
Focal Point - *For Helipass customers using the Focal Point process only. You may decide that the specific user requesting access needs to be limited to only their company's employees. This is done so the user can see their employees' Passenger Profiles and ensure that they are in compliance for work. These users cannot see other passengers not assigned to their company, nor any of the robust planning and reporting areas of the website.
Depending on the User Type that is selected, the options that appear editable below it will change.
When the Focal Point User Types is selected, the system allows one or more companies to be associated with that user's profile. These users will then be limited to the Personnel Page in the site with access to view and edit only their company's employees.
Be sure to hit the "Add" and "Save" buttons to save any changes made!
When the Helipass User Type is selected, there is a different list of permission restrictions that appear. Depending on your Helipass tenants configurations and settings, you may see the various options listed below.
1. Authorized Waiver Types - You may need to assign a specific user the ability to approve waiver request for specific waiver reasons like Identification or Courses. For each of the waiver reasons checked off, the specific user will appear in the list of waiver approvers when a waiver request is made.
2. Authorized Waiver Locations - Alongside choosing the authorized waiver types a user can approve, you can also limit them to approving those waivers for selected locations added to their user profile. This also drives the list of waiver approvers that appears when a waiver is being requested.
3. Authorized Manifest Location Restrictions - Users who are expected to manage the manifest for their specific work location(s) can be restricted by adding the approved trip locations they can edit the passenger and cargo for.
4. Authorized Reservation Types - Some Helipass customers utilize specific Reservation Types in the system. The reservation types can be restricted to specific users to ensure the reservation type is not abused to get around security checks.
5. Authorized Worksite Location Restrictions - POB customers have the option to enforce and restrict POB users from viewing other location's POB pages. This helps prevent outside forces impact the integrity of POB data for a location that is not their own.
Once you have setup the User's User Type, authorizations and restrictions, you will need to apply user group permissions to their profile before that will be able to login successfully.
To assign/manage user's assigned user groups, hit the "Action" drop down button on the right of their user tile and select "Assign Groups". Selecting this will display a list of all the user groups that have been configured in the system from the User Groups page.
Users must have at least one selected, but multiple can be applied. Focal Point customers should have a configured Focal Point User Group so those focal points can be properly assigned the limited view of the site.
