Working with Cargo Check-Ins
Overview: This document will go over how to check-in cargo items to your base through the web interface. It includes updates that have recently been changed to the cargo attributes.
When a piece of cargo has arrived at your base or port, you should check-in the cargo item in Helipass for quick manifesting in the future.
To check-in a piece of cargo, go to the Cargo Checkins page under the Service Port menu option on the menu bar.
Once on the page, locate the blue "+Cargo Checkin" near the top right of the page. This will open a pop-up modal to fill in the cargo's information.
Within the pop-up modal, you are able to input the following information for the cargo item if it is available to you at the time of check-in.
The attributes that can describe a cargo item being checked in are:
- Description - Place a description of the cargo item as you want it to appear on the manifest
- Origin - Select the location that the item will be originating from when added to a manifest
- Destination - Select the location that the cargo item will be destined for when added to a manifest
- Attention - Type in the person, job role, or other description that identified who the item is for
- Number Of Packages* - For capturing the number of identical items that are being checked in together, such as a propane rack that holds 6 bottles or 2 tote tanks both filled up with the same material
- Quantity Per Package* - This field is to capture the quantity (or volume) of material in each of the individual packages being checked in. Examples include 50 Gal, 500 L, 177 LBS, etc. (free text field)
- Total Weight - Capture the total weight of the cargo item(s) you are checking in
- Equipment ID Number* - If the item(s) you are checking in have a unique id that you wish to capture for tracking, place it here. In the event you have unique id's for multiple packages, you can declare all of them by separating each id with a , or ;
- Invoice Number* - This is a free text field to capture the invoice number or purchase order number if available (not a required field)
- Vendor - Capture the vender that is sending the item and fulfilling an order
- Package Type - Select from the drop down the package type that best describes the package. Not all items require the Package Type field to be answered, so use your best judgment
- Cost Codes - The cost code(s) that need to be charged out for their share of the transportation cost can be identified here. To add multiple cost codes to be allocated to a single cargo item, select the symbol to the right of the cost code box
- Hazmat - Click the Hazmat box symbol to open up the hazmat interface. There you can assign the UN Number and specific classifications to properly identify the hazardous cargo (see User Guide)
- Retain Fields - If you are checking in multiple cargo items that share a lot of similar information, select the "Retain Fields" button before clicking Save
- Save - Select save once all of the information is entered.
Once the cargo check-in is created, it will show up in the list of cargo items that have been checked in to the system and are awaiting to be manifested. Cargo check-ins can be edited/deleted from via the Action button. Cargo check-ins that are added to a manifest will be removed from the list the day following its manifested date.
Checked in cargo can be added directly to a manifest via the Cargo Checkin button on the plan page.
If your company's work flow allows cargo to be manually added to a manifest, you can still do so by clicking the "+Cargo" on the Plan page. The pop-up modal will be identical to the one described here with the exception of an additional Container field that is available for Marine Manifesting customers.
* Items marked with the "*" behind their name indicate new fields that have been recently place in the cargo pop-up modal. These items currently do not pull on any reporting other than the manifest specific to Marine Manifest customers.
Deleting a piece of cargo will remove it from the cargo view permanently. Be careful when deleting cargo and only delete cargo you're sure you want to remove from the system.
