Applying Future Waivers for Passengers

Before issuing a Future Waiver, be sure to ask your Helipass Admin if this is an approved process within your workflow.

The Future Waiver permissions can be toggled on/off through the User Group permissions.

Historically, future waivers required users to create multiple waivers for each waiver type rather than being able to create a future waiver for all waiver types at once. Helipass has updated the functionality of future waivers to create a better user experience and save time.

This document will walk you through the new steps to apply a future waiver to a passenger in the Helipass system. It is up to your companies policies on how future waivers are granted and who has the permissions to do so.

Future waivers can be applied to individuals that have been approved to travel regardless of their compliance status for the specific statuses being waived. These waivers, which must be assigned and approved by a Helipass global waiver approver, can be applied to each check-in the passenger has over a date range.

When a passenger has been identified as needing a future waiver applied, navigate to their Personnel Profile. The profile can be located on the Personnel page, as well as numerous other areas on the website that allows you to search for profiles.

Once in the Personnel Profile, click on the Future Waiver tab across the top menu items and select the "Add Future Waiver" button.

Select the date range that you wish the future waivers to be applied for.

Check the box for the waiver types you wish to issue, as well as the reason and approver.

You will be required to add some notes indicating why the future waiver is being applied to the passenger with an option of attaching any documentation that supports the waiver.

Once the information has been filled out, press the save button at the bottom of the window.

If you open the profile and only see an option for "Waivers", you have opened that passenger's Reservation Profile for a particular trip or request. The Reservation Profile is opened up through an eyeball icon while the Passenger Profile is opened by clicking the passenger's name.

You can click on the Profile tab within the Reservation Profile and click the passenger's name. This will take you to the passenger's Personnel Profile.

You can add multiple future waivers for different date ranges and waiver reasons by creating multiple future waivers for the passenger.

Only Global Waiver Approvers for each waiver type will be available as options under the Approver drop down. Waiver approvers without global location permissions will not be allowed to grant passengers future waivers due to the security risk of giving blanket approvals for waivers across the system.

Coordination with global approvers wiIl be needed to grant a future waiver for a passenger in the system.
