Managing Short Service Employee Designation

Overview: Safety is the highest priority in offshore operations, and maintaining a workforce with the right balance of experience is critical to ensuring that safety. The Short Service Employee (SSE) Identification feature in Helipass allows users to track and manage passengers who are either new to their role within their company or new to the offshore environment.

Designating passengers as SSE helps worksite planners ensure that crews are not overpopulated with inexperienced personnel. Instead, a majority of the group should consist of experienced workers who can provide proper mentorship and ensure safe operations. Once a worker has gained sufficient experience, leadership and mentors can mark them as having graduated from the SSE program.

How it works:

  • The SSE designation can be managed in each passenger’s profile.
  • The field allows three values: Unknown (default), Yes, or No.
    • Yes: The passenger is currently an SSE.
    • No: The passenger has completed the SSE program.
    • Unknown: The default state; must be updated before travel.
  • Tenants are responsible for keeping this designation current.
    • In many cases, a company’s Focal Point user (designated as the primary contact for maintaining personnel and compliance) will manage this data.

Helipass only provides the feature for our tenants to track passengers' SSE status for customers who wish to use it.

Setting and Updating SSE Status for Passengers

Users that are responsible for updating a passenger's profile to properly indicate the Short Service Employee status can do so from the "Profile" tab in the passenger's Personnel Profile.

To get to this area, select the passenger's name on the Personnel Page to open up the passenger's profile.

Once the passenger's profile is open, the Short Service Employee status can be updated by selecting the "Edit" button in the Profile tab.

From within the edit view, the SSE designation can be found within the Company Information section. To update the passenger's SSE status, select the proper response from the "Is Short Service Employee:" dropdown menu.

  • Unknown - Default status. Represents a passenger who has not been designated as a SSE or not
  • Yes - Represents a passenger who is currently in the SSE program
  • No - Identifies a passenger who has graduated the SSE program

Alongside the SSE designation, users can place notes to provide more context to the passenger's SSE designation. This can include things like the passenger's start date of the SSE program, date that they graduated the program, who is their mentor, or anything else that needs to be shared with others who are concerned.

Once the updates to the SSE status and notes are done, click the "Save" button at the bottom of the modal to complete the changes.

Best practice for managing the SSE status updates is to include information in the SSE Notes that identify who made the update and when.

Notes do not need to be delete when updates are made. Instead, any new notes should be added in addition to the notes that already exist to keep the update timelines intact.

To quickly identify a passenger's SSE status and any notes that have been entered, users can find this information under the Company tab in the passenger's profile. This would allow users to see the passenger's information before deciding if they need to go to the Profile tab to make any edits that are needed.

Future updates will include compliance validation to prevent travel if the SSE status remains marked as “Unknown,” alerting users via red reservation flags. The compliance enforcement will also require prior approval from the leadership on the location for all passengers who are marked as being in the SSE program.

Note that not all Helipass tenants will be tracking the SSE status for passenger's in the Helipass system. Only tenants who turn on the Advanced Setting to "Enable short service employee status" will see the SSE indication displayed in the passenger profile.
